How to import invoices and credit notes into Sage 50

Stora can export your invoices and credit notes in a format you can import into Sage 50. Use this to keep your bookkeeping in Sage 50 in sync with the storage income you record in Stora.

This article shows you how to set up your accounting codes, export from Stora, and import the file into Sage 50.


How to set up Stora and Sage 50

Before you export from Stora, check a few settings in both Stora and Sage 50 so the data imports cleanly.

Add an accounting code to each unit type

Assign an Accounting Code to each unit type so Sage 50 can post income to the correct nominal code.

  1. In Stora, go to Sites and click the site you want to edit.

  2. Select Unit Types and choose the unit type you want to update.

  3. Click Edit Unit Type.

  4. Scroll to Accounting Code.

  5. Enter the nominal code that matches the code you use in Sage 50.

  6. Click Save.

💡 The accounting code you add here appears in Column C of the Sage 50 export, so each invoice line is sent to the correct nominal code.

Add an accounting code to each contact

Assign an Accounting Code to each contact so Sage 50 can match the export to the correct customer record.

  1. In Stora, go to CRM.

  2. Select Contacts.

  3. Open the contact you want to update.

  4. Click Edit Contact.

  5. Enter the customer number in Accounting Code.

  6. Click Update Contact.

💡 The accounting code you add to the contact appears in Column B of the Sage 50 export.

⚠️ The codes in Stora must match the codes you use in Sage 50. If they do not match, Sage 50 may reject the import or assign the data incorrectly.


How to export invoices and credit notes from Stora

Once your settings are in place, you can export invoice and credit note data whenever you need to update Sage 50.

  1. In Stora, go to Invoices.

    • To export credit notes, go to Credit Notes instead.

  2. Set the Date range you want to export.

  3. Apply any other filters you need, such as Site.

  4. Click Export.

  5. Select Export formatted for Sage 50.

  6. Save the CSV file to your computer.

Once downloaded, your file is ready to import into Sage 50.

⚠️ Check your date range and filters before importing the file into Sage 50. This helps avoid importing the wrong invoices, missing data, or duplicating records.


How to import the file into Sage 50

Next, upload your Stora export into Sage 50 using Sage 50’s import process.

  1. Open Sage 50.

  2. Go to the import area in Sage 50.

  3. Select the CSV file you exported from Stora.

  4. Follow Sage 50’s import steps.

  5. Review the import preview or validation results.

  6. Fix any issues Sage 50 highlights, such as missing customer codes or nominal codes.

  7. Complete the import when everything looks correct.

⚠️ Always review the import results in Sage 50 before finalising your bookkeeping. Third-party import rules can vary depending on your Sage 50 setup.


How to export data by location

If you run multiple sites, you may want to separate invoice data by storage facility in Sage 50.

  1. In Stora, go to Invoices or Credit Notes.

  2. Use the Site filter to select one location.

  3. Click Export.

  4. Select Export formatted for Sage 50.

  5. Repeat the process for each site you want to import separately.

  6. Add any required location codes to the CSV file before importing it into Sage 50.

💡 Location tracking is configured in Sage 50, not Stora. If you use location tracking, you may need to update the exported CSV manually before importing it.
