How to report on viewings

Viewings Report

The Viewings Report gives you a clear picture of your viewing activity over any time period. Use it to track how many viewings are being booked, completed, cancelled, or missed - and to see which agents are driving the most activity.

Whether you're monitoring team performance, spotting trends, or pulling data for a client review, the Viewings Report puts everything in one place.

To access the report, head to the Reporting section in the left side hand panel and look for the Viewings section.

You'll find two reports here: Viewings Overview, which displays your viewings data in graphs, and Viewings DataTable, which presents the same data in a table format.

Both reports can be filtered by branch, viewing type (Sales or Lettings), and date range. Select your filters and click Apply to refresh the data.

Viewings Overview

The Viewings Overview shows four headline figures for the selected timeframe.

  • Booked - viewings that were confirmed or completed during the period

  • Completed - viewings marked as completed, based on the scheduled viewing date

  • Cancelled - viewings that were cancelled, based on the scheduled viewing date

  • No Show - viewings where the applicant did not attend

Below the headline figures, three bar charts break the data down further.

  • Confirmation Method - how viewings were confirmed (SMS, WhatsApp, Instant Book, by the agent, by the vendor, or Block Viewing)

  • Booked By - the number of viewings booked by each agent (or by a consumer directly)

  • Completed By - the number of viewings completed by each agent

On any chart, click View Data to open the Viewings DataTable filtered to that chart's data.

Viewings DataTable

The DataTable shows your viewings in a sortable table highlighting the address, branch, viewing date, booked by, consumer name, completed by, status, date booked, type (Accompanied or Unaccompanied), and confirmation type.

Clicking on a property address will take you directly to that property's page. And clicking View Charts will switch you back to the Viewings Overview.

The viewings data table can also be exported to CSV using the 'export' button at the top right.

Note - To access the export button you will need a role with the permission 'Allow this user to export data from Street' enabled.

Exporting to CSV includes additional columns not shown in the table β€” Postcode, Owner Name, Owner Email, Applicant Name, Applicant Address, Applicant Email, and Applicant Phone Number.

Street is constantly being updated. This can mean that some of these articles become slightly out of date. If you spot something that looks a little bit different to your Street account, please let us know on the live chat so we can get it updated!

To get started head to Reporting (left side panel at the bottom) and look for the Viewings section. This has two reports, Viewings Overview which shows data on your viewings in graphs and Viewings DataTable which shows the data in a table format.

Both reports can be filtered by the branch the property is assigned to, whether the viewing was sales or lettings and the date.

Viewings Overview

The Viewings Overview report shows a breakdown of data, showing the number of viewings booked, completed, cancelled and no shows in the timeframe selected, as well as graphs to visualise the data.

On any of the graphs you can click 'view data' which will essentially open the Viewings DataTable report.

Viewings DataTable

The Viewings DataTable shows a breakdown of data in table format, again based on the filters selected. From here you can click on the property address to navigate to the property page.

You can also click 'view charts' to switch back to the Viewings Overview report.

If you have the permission to export data enabled, you will also see the 'export' button, allowing you to export the table into a CSV file.
