How to get the most out of the new and improved Tasks feature in Street

We've been hard at work overhauling how tasks work in Street, making it easier to manage your tasks and giving you more visibility of what tasks need actioning.

What's changed?

Previously you had follow ups that could be added on properties, viewings etc and tasks that could only be created on the main task management page.

Follow ups aren't being removed but are instead becoming a type of task, along with call and email. Any existing follows you had in place will simply become a task.

Tasks can now be created anywhere in the system and can be viewed from the related page, ie the property page, as well as the new Tasks page and the task widget on the dashboard. Additionally, you can now create custom task types to further customise how you manage your workload.

Creating a new task

Tasks can be created from several different places including an entity page (such as a property or tenancy), the main tasks page, the tasks widget or one of the tables of data (such as viewings or valuations tables).

When creating a task you simply need to give it a name, choose an assignee, task type, due date, whether it should repeat and add a description. Once the task is created it will appear in the lists of tasks for that entity as well as on the main task page.

Custom Task Types

The default task types are follow up, call and email however you can create your own custom task types that can be used when creating tasks. These are setup in your settings by a company admin and can then be used throughout the system.

Repeating Tasks

Tasks can be setup to repeat, either when completed or on a fixed schedule, either every day, week or month. This can automate things like regular follow calls or check ins. Additionally, custom task types can be setup to repeat by default.

Task Management page

To get started, head to Tasks on the left side bar to see your task management page.

This page remains largely unchanged however instead of just showing follow ups, each tile in the tasks page now shows a breakdown of all tasks across the system that relate to that area, including follow ups, calls, emails and custom task types. For example, 'property tasks due' will show all tasks on all properties.

Additionally, the 'tasks' section on the right hand side has been moved into it's own tab.

As normal, you can filter either by your tasks or anyone else in your branch to see their tasks, excellent to use if you have staff on holiday or off sick. You can also filter whether you want to see just today's tasks, the tasks coming up in two days' time and tasks for the whole week.

Removing overdue followups

Overtime your may have a collection of overdue follow ups build up that you're never going to action. By clicking 'actions' at the top right you can remove all overdue follows older than the date you select.

Note - This will only remove tasks with the type 'followup' can cannot be undone once actioned.

Tasks Page

The Tasks page is a brand new page that gives a detailed breakdown of all tasks in your system that can be filtered and custom views setup, giving you total control over how you view and manage your tasks.

You can also create a task directly from the Tasks page by clicking the 'create task' button at the top right.

Note - It's not currently possible to create a task for anything other than a property from the Tasks page. If you need to create a task for anything else, like a valuation or viewing, head to that page and create the task from there.

Filters and Views

By clicking the 'filters' button you can filter your view of tasks by assignee, branch, type, due date, property, related record and task status.

Creating your own view

By default you will see two views: 'My tasks' - showing all tasks assigned to you and 'Branch tasks' - showing all tasks assigned to a user in your branch or, if unassigned, created by a user in your branch.

However you can create your own views by clicking the '+ add new view' button. Firstly, give your view a name. Secondly, select the filters you want for that view. Finally, click 'save changes'. Now you can quickly view tasks based on those filters.

Renaming and deleting views

Views can be renamed or deleted by selecting the view and clicking the three dots on the right hand side of the view.

Tasks on an entity page

As well as the main tasks page tasks can be now seen, completed and created from almost anywhere in Street including properties, tenancies, viewings, valuations, sales offers, tenancy renewals and more. You will see an Outstanding Tasks card on the right hand side as well as a new 'tasks' tab underneath the page details.

Tip - The number that shows on the tasks tab indicates how many tasks are outstanding. If the number if is red it means there are overdue tasks. If the number is green it means all tasks are due in the future.

Outstanding tasks card

From the outstanding tasks card you can see any tasks relating to that entity showing the key information including the assignee, description and when it's due. Clicking into a task allows you to edit the description, delete the task by clicking the bin icon or complete the task.

Tip - You can also quickly complete a task by clicking the tick circle!

New tasks can be created using the '+ task' button or you can quickly add a follow up task using the '+ follow up' button.

Tasks tab within an entity

Clicking into the 'tasks' tab on an entity gives you a breakdown of all tasks relating to that property and works in a similar fashion to the main tasks page. You can filter tasks, edit complete, delete tasks and create new tasks.

Tip - A property page will show all tasks for that property as well as any related entity's tasks. For example a task on a viewing will show on the property's task list as well.

Dashboard Task Widget

From the dashboard you can create a task widget and select one of your task views to show, making it easy to track different tasks. You can even create multiple task widgets if you have multiple views you want to show.

It's also possible to edit, complete, delete and create new tasks from the widget.

Data tables

From one of the main tables of data, such as the valuations table, you'll now see a 'next action' column (replacing the old follow up / next contact column) which will now show the next task relating to that entity.

Hovering over the next action will show the key information about that task and clicking 'change due date' allows you to edit, complete and delete the task.

For anything without a task, you will have the option of creating a task or follow up task using the + task / follow up buttons.
