Owner Preferences
Each property's owner page has the option to set up individual preferences for maintenance, preferred payment date as well as payment advice and statements.
To get started, head to the Owner page, accessible from the Property page by clicking the owner's name.
From the owner page, scroll down and on the right hand side you will see the Owner Preferences card where you can set up their preferences.
Maintenance Preferences
Firstly you can view their existing preferences for maintenance jobs and change them by clicking the pencil icon.
Float Preference
The float preference option will only show if you manage your client accounting in Street. Here you can set the owner's float preference that will be used when allocating funds, by defaulting the 'top-up float' field to the amount required.
For example, with a float balance of £100 and a float preference of £250, the top-up float field will default to £150, if there are sufficient funds. This ensures the float balance is maintained at the owner's preference.
For more information, see our Float's on Owner Ledgers help article.
Min Job Approval
Additionally you can set an owner's minimum job approval amount. When adding quotes on a maintenance job, you will see this value that you can use to determine whether you should inform the owner or not.
Preferred Contractors
Finally, you have the option of adding preferred contractors for the owner. You can select from any existing contractors in your account and these will be shown when adding a contractor to a maintenance job.
Payments
Next is the Payments section, where you can set a preferred payment date by clicking the 'set preference' button. Here you can choose what day of the month or select the last day of the month.
If you manage your client accounting in Street, setting a preferred date here will show that date on both the allocate funds page and the payments to make page, on the right hand side next to the payment advice preview button.
It's worth noting that portfolio landlords also have the option to set a preferred payment date on their portfolio page. However the payment date set on an individual property owner page will take priority over the portfolio setting.
Note - If you do not manage your client accounting in Street, the preferred payment date is simply an informational field and setting it will have no effect in Street.
Payment Advice and Statements
Finally you will see the payment advice and statement preferences, where you can see who will receive these documents and change them by clicking the pencil icon.
By default, every individual owner on the property will be included in both payment advice and statements and cannot be removed. However additional emails can be included as a CC for each owner by clicking the 'add additional email' option and adding the email.
As with preferred payment date, it's worth noting that portfolio landlords also have the option to set payment advice and statement preferences on their portfolio page. If grouped payment advice and/or statements are enabled, the preferences set on the portfolio page will take priority over individual property preferences.
