Adding a Contractor to a Maintenance Job

Once you've created a maintenance job, the next step is to determine who will be fixing the issue - a contractor or the landlord.

Contractor to Fix

If the contractor will be fixing, from the maintenance job page, click the 'Add Contractor' button.

On the 'Add Contractor' page you can either search for an existing contractor (or create a new one if needed) or quickly select from one of the owner's preferred contractors, if you have set this up for that owner.

With a contractor selected, you'll also see a warning if they have any compliance certificates that have expired or are expiring soon.

Requesting a Quote

Maintenance requests can be requested from a contractor at two different stages.

Note - Requesting a quote is optional. If you have already received a quote from a contractor, you can skip the 'request a quote' step and move ahead to the 'add a quote' step.

The first option is when you've selected the contractor, you can request a quote immediately by toggling on the 'request a quote from contractor name' toggle. This will send an automated works order email to the contractor with the relevant details.

Tip! If you have already agreed to proceed with the contractor, you can speed things up by selecting the 'instruct contractor upon saving'. This will skip the quote and approval stages entirely and instruct the contractor immediately.

Alternatively, you can leave this toggle unchecked (simply adding the contractor details and clicking save) and request a quote on the job page, once the contractor has been saved, by clicking Actions > Request Quote.

Note - Regardless of when you request a quote, doing so will send an automated works order email to the contractor with the relevant job details, including the details of who to contact for access, as setup when creating the maintenance job. This notification is called 'quote requested' which can be toggled on/off and the content of the notification can also be edited.

Adding Multiple Contractors

You can add as many contractors from the job page as needed by clicking the 'Add another Contractor' button (which will show after the first contractor has been added). This is useful for situations where you would be requesting a quote from more than one contractor to compare.

Landlord to Fix

If the landlord will be fixing the issue, you can instead click 'landlord to fix' where you can optionally add an expected completion date. Additionally, you have the option of closing the job immediately, useful if the landlord will be dealing with everything.

If a contractor will be fixing and you've requested a quote, the next step is to add the quote to the maintenance job.
