How to setup, track and manage mileage in your Street account

Mileage Settings

Before you start using the mileage feature within your network, a Company Admin should first set your custom expense per mile in the Mileage Settings.

Head to Settings (left side panel at the bottom) > Company Settings > Mileage. Here you can set the expense per mile.

Tracking Mileage in the Street Agent App

The Street Agent app will automatically track your mileage for the day, by using the appointments that have been booked in and carried out by you.

In the app, click the Mileage tab. Here, you can see an overview of each day's mileage by scrolling up and down in the Your Mileage area.

Swiping down on the Your Mileage section will reveal the map, where you can see a route of your appointments, with the corresponding icons.

Editing your mileage

Clicking the blue pencil icon let you edit your timeline, allowing you to add additional stops by clicking the + icon delete stops with the bin icon and re-arrange the order by clicking and dragging the two lines.

This allows you to customise your day's journey, for example if you ended at your house instead of the office or needed to add a stop for petrol.

Adding an additional stop

When adding an additional stop you can search for an address or click 'Quick add office' to instantly add the office location. When searching for an address, you can also optionally add a reason for the journey.

Submitting your mileage

When you are ready, you can click the Submit button to submit your mileage and it will show as 'Awaiting Approval'. At this stage, your journey can still be edited up until the point that it's been approved.

Approving Mileage

Once mileage has been submitted via the app, it will show in your Street account in the Mileage section - found under Admin (left side panel at the bottom) > Mileage.

Note - Only Branch and Company Admins will have access to approve mileage.

From the Mileage page, you can generate a report by clicking the Export Report button, giving a breakdown of the appointments made by each agent with dates, distance travelled, and total expenses.

Unapproved Tab

The Unapproved tab will show a breakdown of your users that have submitted mileage for approval. This table can be filtered by date and branch and sorted by the user name, branch name and total expenses columns. You can also use the search function to find a specific user as well as Export to CSV if needed (Note - You will need the Export permission enabled on your account, see here on how to set this up).

From here, can either quick Approve by clicking the Approve button or click the drop down to expand this agent's mileage.

This gives a further breakdown of each submission allowing you to click View to see the journey details of each submission.

When ready, click Approve and those submissions will be approved in the system.

The approved tab shows a table of approved submissions and works in the same way, by clicking the dropdown you can see a breakdown.

Approved mileage in the app

Once mileage has been approved, it will update in the user's app and show as Approved and can no longer be edited.

Street is constantly being updated. This can mean that some of these articles become slightly out of date. If you spot something that looks a little bit different to your Street account, please let us know on the live chat so we can get it updated!
