What are Matching Rules?

An explanation of how matching rules impact reconciliation and how to create them

Matching Rules

Matching rules allow you to set up conditions that automatically link incoming bank transactions to a specific tenancy during reconciliation. These transactions will then show as Linked Payments, highlighted in green. For example, if your tenants always pay using a specific reference, you can create a rule so that Street recognises that reference and links it to the correct tenancy automatically - saving time and reducing the chance of errors.

To access the Matching Rules page, head to the Accounting section on the left side panel and click Bank Accounts. From here, click the three dot menu on the relevant bank account and select View Matching Rules.

Tip! You can also access the matching rules page from the Reconcile page via the Matching Rules tab.

Bulk Creating Matching Rules

This article focuses on how matching rules work and how to create them individually. However there is also an option to bulk create matching rules across all your tenancies at once, which is particularly useful when you are first getting set up. Creating a Matching Rule

You can create a matching rule directly from the Matching Rules page by clicking Create Rule, or at the point of linking a payment during reconciliation.

Step 1 - Set your condition logic

First, decide whether the rule should require all conditions to match or any conditions to match.

  • All conditions match — the rule will only trigger when every condition you set is met by the bank transaction

  • Any conditions match — the rule will trigger if at least one of the conditions you set is met

Step 2 - Add your conditions

Next, build your conditions. Each condition has three parts.

  • Column - which part of the bank transaction to look at: Payee, Reference, or Description

  • Condition - how to compare it: Contains, Equals, Starts With, or Does Not Contain

  • Value - the text you expect to appear on the transaction

For example, if your tenants pay rent using the reference 10examplestreet, you would set Column to Reference, Condition to Equals, and Value to 10examplestreet.

Note — If you use the Equals condition, the transaction must match your value exactly, character for character. Even a single extra space or difference in capitalisation will prevent the rule from matching. In most cases this will be the safest method but the rule will fail to trigger if there are any discrepancies.

You can add as many conditions as you need by clicking Add Condition. This is useful if you want to narrow the rule further — for example, also checking that the payee name matches.

Step 3 - Match to a tenancy

Finally, search for the tenancy you want this rule to link to, by address or tenant name. Street will show the tenancy's current balance and any relevant status indicators such as Tenancy Ended, Ending Soon, or New Tenancy, so you can make sure you're selecting the right one.

Note — Matching rules can only be linked to tenancies.

Once you're happy, click Save Rule.

How Matching Rules Work on the Reconcile Page

From now on, any bank transaction that meets the conditions of a matching rule will appear as a Linked Payment on the Reconcile page. This shows the matched tenancy's address, tenant names, current balance, and a summary of the conditions that triggered the rule.

From the Linked Payment you can view tenancy details, view the ledger, edit the matching rule, or unlink the transaction if needed. When unlinking, you'll also have the option to delete the matching rule at the same time.

Conflicting rules

If two or more matching rules match the same bank transaction, Street will display a conflict warning showing each rule and the tenancy it links to. Street recommends resolving the conflict by editing the affected rules before proceeding. The transaction will not be automatically linked until the conflict is resolved.

Managing Your Matching Rules

The rules list is searchable by tenancy address or condition values, which is useful if you have a large number of rules and need to find a specific one quickly.

To edit a rule, click the pencil icon on the relevant row. To delete a rule, click the bin icon and confirm. Deleted rules cannot be recovered, and there is no option to temporarily disable a rule — if you no longer want a rule to apply, it will need to be deleted.
