An explanation of how matching rules impact reconciliation and how to create them

Matching Rules

Matching Rules are a feature used to improve the speed and accuracy of reconciliation by setting up conditions that when met will link the bank transaction to a specific tenancy.

You can access the Matching Rules page either from the Bank Accounts page by clicking the three dots on the relevant account and click 'view matching rules' or from the Reconcile page by clicking onto the Matching Rules tab.

Bulk Creating Matching Rules

This article explains how matching rules work and how to create them. There is also an option to Bulk Create Rules (extremely useful when you are first setting up your matching rules) which you can find more information on in this help article.

Creating a Matching Rule

You can either create a matching rule when linking a payment or directly from the matching rules page.

Matching Rule Conditions

The first step of creating a matching rule is to decide if it requires all or any conditions to match.

If you select 'all conditions match' the rule will only trigger when every specified condition is met by the bank transaction. What this means is condition 1 AND condition 2 AND condition 3 and so on.

If you select 'any conditions match' the rule will trigger if at least one specified condition matches the bank transaction. What this means is condition 1 AND/OR condition 2 AND/OR condition 3 and so on.

Conditions

Now you need to setup the individual conditions.

Firstly select what column of data the rule should look at, choosing between payee, reference and description. For example you may have a specific reference for each tenancy in which case you could select reference.

Next you need to decide what should the condition be, choosing between contains, equals, starts with or does not contain.

Note - If you choose the 'equals' condition, the transaction must match character for character. In most cases this will be the safest method but the rule will fail to trigger if there are any discrepancies.

Finally enter the value that you expect to receive on the bank transaction. For example, if the reference for a tenant to pay rent with is ABC123 you would enter this in the value box.

At this stage, you should have a single condition setup.

From here, you can add additional conditions to further specify how that rule should trigger, ie if the payee equals Mr John Smith.

Match To

The final stage of the creating the matching rule is to choose which tenancy in Street to match to. Simply search for the tenancy by address or tenant/owner name.

Note - It is only possible to setup a match rule for Tenancies.

At this stage you should have a complete matching rule setup and you can click 'save rule'.

From now on, any bank transactions in the Reconcile page that meet the conditions of that match rule will show as a Linked Payment, making the reconciliation process extremely simple.

Editing and deleting Matching Rules

You can edit any existing matching rules by clicking the pencil icon and delete matching rules by clicking the bin icon.
