Importing your Item List into StructShare

Background

Import your item list into StructShare so that your field teams can reference the items they need in material order requests

Things to Consider

  1. You can create your items list manually or via excel import

    • Please leverage this Item Database Import Template (go to File, than "Make a Copy' to create your own list) for importing your item database and associated item groupings

  2. Catalog Categories must be created from System Settings first before they can be assigned to items on this import. Catalog Categories (refer to this article)

  3. Once the excel sheet has been loaded into StructShare, you can adjust the columns to correctly label the item details

  4. The import will not process successfully if any of the required columns are missing data (Item Name and Units of Measure)

  5. Admin Permission Level Required

  6. StructShare restricts item duplication in your Item Database:

    • The item database is designed to be a centralized source of truth for item naming and labelling. Because of this, we will not allow duplicated records that share all attributes

      • Items will need to be unique. You can leverage any of these fields to ensure that items are recognized by our system as unique values:

        • Item Name

        • Internal Identifier

        • UPC

        • Model #

        • Manufacturer

Steps

  1. Pull your items list out of your accounting system, estimating system, or internal filing system. For importing, please use the linked template above.

  2. Do not add information into they greyed out row:

  3. Add your Item Names from the Item Database Import

  4. Switch to the Catalog Categories Builder to add your Categories

  5. Categories will automatically populate onto the Item Database Import tab:

  6. You can add additional information in any of the following blue columns (only the red columns are required):

    • Item Code

    • Cost Code

    • Cost Type

    • Budget Category

    • Warehouse

    • Inventory (for the Warehouse)

    • Expected Price

    • Notes

    • Manufacturer

    • Model Number

    • UPC

    • Original Image URL (must be a link to an image on a website)

  7. Once you have created an importable list, click the import button (cloud with up arrow) in StructShare.

  8. Adjust the column headers if necessary.

  9. NOTE: If your excel import sheet has headers, click the ‘ignore first line’ box in the Import Window.

  10. Click ‘Process’.
