Objective

Populate supplier catalog items into your StructShare instance.

Background

Supplier catalogs are a supplier-created resource that lists items for sale. These catalogs can contain the item names, item details, and prices. Adding supplier catalogs to StructShare will enable our system to automatically populate prices into your Purchase Orders (POs).

Things to Consider

  • Required Permissions:

    • Only System Admins are able to add supplier catalog information to StructShare.

  • Import Capability:

    • Though supplier catalogs can be built manually, they can also be imported from an excel spreadsheet.

  • Search and Filter:

    • Once the supplier list is added to StructShare, you can keyword search for the relevant items. You can also filter by supplier.

  • Create a Supplier Catalog Item Manually

  • Import a Supplier Catalog

  • Associating Items By UPC

Create a Supplier Catalog Item Manually

  1. From the ‘Home’ screen in StructShare, click on ‘Supplier Catalog’ on the left-hand side of the screen.

  2. Click on the plus icon ‘+’ on the right-hand side of the screen to add an item.

  3. Input the relevant information:

    • Company name

    • Item name

    • SKU

    • Unit

    • Catalog price

  4. Click ‘Create’

Import a Supplier Catalog

  1. Set up your Supplier Catalog import template

  2. From the ‘Home’ screen in StructShare, click on ‘Supplier Catalog’ on the left-hand side of the screen.

  3. Click on the cloud icon on the right-hand side of the screen to ‘Upload New Catalog’.

  4. Choose your file

  5. Select the Supplier you wish to link these items to

  6. Adjust the columns if necessary

  7. Click ‘Insert Rows

    • Note that you can also ‘Update Supplier Catalog’ to override prices for existing items.

Associating Items by UPC

You can now easily associate items in your Supplier Catalog to an Item in the Items Database if both items have the same Item Name, Unit of Measure and a matching UPC.

  • When a Supplier is selected in a draft order or a field request, StructShare will match the item from the order to an item in the Supplier Catalog based on the below functionality:

UPC + Units

  • If the 'UPC' field is present, StructShare will check that the 'Units' match.

  • If the 'Units' field is a match, StructShare will populate the attributes of the item from the Supplier Catalog.

  • If empty, StructShare will look for the next criteria- Model # + Manufacturer + Units

    • If the 'Model #' is a match, StructShare will then check for the 'Manufacturer'.

    • If the 'Manufacturer' is a match, StructShare will then check for 'Units'.

    • If the 'Units' are also a match, StructShare will populate the attributes of the item from the Supplier Catalog.

  • If there is a match, the below attributes will populate:

    • Last price or Expected price.

    • If the 'Populate Company Catalog Price when Ordering from Supplier Catalogs' is checked in 'System Settings' StructShare will populate the price from the Company Catalog (Items Database) and not the 'Supplier Catalog'.

    • Discount (Net Price)

    • UPC

    • SKU

    • Manufacturer

    • Model #
