Add Cost Codes to Trimble Materials

Objective

To create a cost code list in your Trimble Materials instance.

Background

In Trimble Materials, your cost code list will display for your users when they create a new Material Request, a Purchase Order, or Invoice in your projects.

Things to Consider

  • Required Permissions:

    • Note that only ‘System Admins’ can add cost codes to the database. This is a permissional setting that can be found in the Users and Permissions settings.

  • If Integrating with Procore:

    • Cost codes can be added to Trimble Materials through an integration with Procore. Please speak to your Trimble Materials Account Manager if this will be the best option for your team

  • Import Capability:

    • If you intend to add multiple cost codes into Trimble Materials you can leverage our import template

Steps:

  • Add Cost Codes into Trimble Materials Manually

  • Import a List of Cost Codes into Trimble Materials

  • Hide Cost Codes in Trimble Materials

  • Sync Cost Codes with Trimble Materials from your Procore Account

Add Cost Codes into Trimble Materials Manually

  1. From the 'Home' screen in Trimble Materials, click on the 'Settings’ icon on the bottom left-hand side of the screen.

  2. Scroll down to the 'Data Management' section.

  3. Select 'Cost Codes'.

  4. To the right of the 'Cost Codes' header, click on the plus icon ‘+’ to 'Add New Item'.

  5. Input the Cost Code number and/or description based on how you have it displayed in your associated ERP.

  6. Click 'Create' to save.

Import a List of Cost Codes into Trimble Materials

  1. Compile a list of cost codes and load them into the Trimble Materials Cost Code Import document.

  2. From the 'Home' screen in Trimble Materials, click on the 'Settings’ icon on the bottom left-hand side of the screen.

  3. Scroll down to the 'Data Management' section.

  4. Select 'Cost Codes'.

  5. To the right of the 'Cost Codes' header, click on the cloud icon to 'Upload Cost Codes'.

  6. Choose the file you wish to load into Trimble Materials.

  7. Adjust the columns if necessary

    • Note: If the first row in your import document contains column headers, please select 'Ignore first row'.

  8. Select 'Import X Rows' to finish.

  9. Update Summary pop up will share how many Cost Codes were successfully imported.

Delete Cost Codes in Trimble Materials

  • You have the ability to delete Cost Codes in Trimble Materials that you no longer use.

  • If the Cost Code is associated with an order in the system, you will still see that Cost Code associated to that order but the "hidden" Cost Code will no longer be available as an option to select in your 'Cost Code' dropdown.

  • If you have multiple Cost Codes deleted, or wish to view a list of "active" Cost Codes, you can select the 'Show/Hide Deleted' on the top right hand side of the 'Cost Codes' screen.

  • If you manually added or imported a 'Cost Code' you have the ability to edit this 'Cost Code'. If you imported a 'Cost Code' from your ERP, the edit will need to happen in your ERP.

Procore Users

  • If you are integrated with Procore, when you re-sync a Project, your Cost Code list will update to match what is in Procore. E.g. if you hide Cost Codes in Procore, they will automatically be hidden in Trimble Materials. If you delete Cost Codes form Procore (as long as they are not associated to any POs, they will be removed from Trimble Materials during the re-sync.
