How to Add Budget Categories

Objective

To create budget categories within your StructShare instance.

Background

In StructShare, you can compartmentalize your job cost on a project by project basis based upon categories you define. Budget categories can be used for a variety of ways. Typically you create budget categories around the different types of cost that you're gonna have within your projects and materials. All projects have a project lifecycle and to breakdown the cost, compare the estimate and track the materials purchased based on the category you are in can be done easily using the budget categories.

Once a budget category has been added to the account they will be available globally for all projects. You will be able to set an estimated cost for a specific category in the project budget screen and for reference against line items.

Things to Consider

  • Required Permissions:

    • Note that only ‘System Admins’ can add budget categories to the database. This is a permission setting that can be found in the Users and Permissions settings.

Steps:

  • Create Budget Categories in StructShare

  • Import Budget Categories from ERP

Create Budget Categories in StructShare

  1. From the ‘Home’ screen in StructShare, click on the ‘Company Account Settings’ gear icon in the top right corner.

  2. Click on ‘System settings’.

  3. Click on the ‘Manage budget categories’ button towards the bottom of the page on the left hand side.

  4. Click on the ‘+’ sign in the sliding tab to add a category and click on the ‘Update’ button when completed.

Import Budget Categories from ERP

  1. This ability (Use ERP Cost Types) needs to be enabled on the back-end of the StructShare system. Please first reach out to your Customer Success Manager at StructShare or our Support team to get this enabled for your company.

  2. For Procore you can Import Budget Categories (Cost Types) associated with Cost Codes by importing a Project into StructShare. (see article: How to Sync your Procore Instance with your StructShare Instance)

  3. When selecting an item you want to sync with your ERP system or Procore a Cost Code must be selected first (the associated Budget Categories will then be available to choose after the Cost Code is selected).
