How to Create and Import a Project in Trimble Materials

Objective

To create a Project in your Trimble Materials instance.

Background

In Trimble Materials, a project record should be created for any project you are ordering materials, equipment, or supplies to. This record will hold critical information about the project like the project name and project address. Once a project is added into your project database, the project will be available for reference against Material Requests, Purchase Orders, Rental Orders, Service Orders, Return Orders, Labor Logs and Invoices.

Things to Consider

  • Required Permissions:

    • Note that only ‘System Admins’ and 'Project Admins' can add Projects to the database. This is a permission setting that can be found in the Users and Permissions settings.

  • If Integrating with Procore:

    • Projects can be added to Trimble Materials through an integration with Procore. Please speak to your Trimble Materials Account Manager if this will be the best option for your team.

  • Import Capability:

    • If you intend to add multiple Projects into Trimble Materials you can leverage our import template.

Steps:

  • Add a Single Project into Trimble Materials

  • Import a List of Project into Trimble Materials

  • Sync Projects with Trimble Materials from your Procore Account

Add a Single Project into Trimble Materials

  1. From your ‘Home’ screen in Trimble Materials, click Trimble Materials logo to open up the menu bar.

  2. Click on the 'Projects' screen

  3. You can add a new project by clicking on the + sign

  4. Input the relevant data:

    1. Project Details

      1. Project Address

      2. Project Name

      3. Default Division

      4. Default Delivery Contact

      5. Jobsite Information

      6. Delivery Hours

      7. Special Notes

    2. Project Setup

      1. Require 2-Step Approval

      2. Auto-calculate the budget from the BoM

      3. Mark Project as Tax Exempt

      4. Job Number

      5. PO Counting

    3. Project Phases

  5. Click ‘Create Project’.

Import a List of Projects into Trimble Materials

  1. From your ‘Home’ screen in Trimble Materials, click Trimble Materials logo to open up the menu bar.

  2. Click on the 'Projects' screen

  3. You can upload a new project by selecting the upload arrow on the right hand side

  4. Choose the file you wish to load into Trimble Materials.

  5. Adjust the columns if necessary

    • Note: If the first row in your import document contains column headers, please select ‘Ignore first row’.

  6. Finish up by clicking ‘Insert Rows’.

Sync Projects with Trimble Materials from your Procore Account

  • We recommend reaching out to your Account Manager to assist with this setup

  1. From your ‘Home’ screen in Trimble Materials, click Trimble Materials logo to open up the menu bar.

  2. Click on 'Settings'.

  3. Click on ‘Procore Settings’.

  4. Log in to your Procore instance with your credentials.

  5. Once the system has been synced with Trimble Materials, you can click ‘Start Import’.

    • Here, you will need to select the company, standard cost code list, and the projects you wish to sync. Note that you can ‘Skip to next step` and `Select All’.
