Objective

This article explains the various Users & Permissions settings available when configuring a User in StructShare.

​Background

Depending on each team member's role within your organization, you may want to control what each User can do and how they interact with the system.

Points to Consider

  • System Admin permission required

Steps:

  1. Settings

  2. Users & Permissions

  3. Edit User > User Information

System Permissions

  • Mobile Requests Only

    • This setting will set Field View as the default for the User, both in StructShare Mobile and Web.

    • When this permission is selected, you will have an additional setting available to Lock the ability to change the UoM in Requisitions.

Special Roles

  • System Admin

    • Enables administrative permissions to all areas of StructShare, including:

      • Ability to add, edit, and delete Users.

      • Adjust the default System Settings.

      • Make adjustments to the Company Items.

    • System Admins are automatically added to all new projects.

  • Project Admin

    • Enables access to the Projects page and the ability to view PO pricing.

    • Project Admins can also:

      • Create and send Requests For Quote (RFQs).

      • View Supplier RFQ responses.

      • Upload Supplier RFQ responses.

    • Project Admins cannot generate POs from RFQs or send Orders unless the Submit to Suppliers permission is also enabled.

  • Invoices Admin

    • Enables access to the Invoices page, including:

      • Uploading Invoices.

      • Matching Invoices to Projects and POs.

    • Invoices Admins do not have access to Company Items or Warehouse pages and limited access to System Settings.

  • Warehouse Admin

    • Enables access to the Warehouses page, including:

      • Add, edit, and delete Warehouse Items.

      • Add, edit, and delete Company Items.

    • After the Warehouse Admin permission is enabled, you can further specify which Warehouse location(s) you want to provide admin access to.

4. Edit User > User Permissions

User Permissions

  • View & Request

    • User can view selected Projects and create Material Requests.

  • Can Approve Order

    • User can approve RFQs and POs for Projects that have 2-Step Approval enabled.

    • Approved RFQs and POs are then routed to Users with the Submit to Suppliers permission enabled.

  • Submit to Suppliers

    • User will be able to send RFQs and submit POs to Suppliers.

  • Join External Chat

    • User will be able to see and send messages that include Suppliers and RFQs.

5. Click Save Changes
