Objective

This article will explain the different 'Users & Permissions' settings available when setting up a new user in StructShare.

Background

This article will help you understand the available User Permissions in StructShare s o that you can select the level of permissions to grant a specific user.

Things to Consider

  • Required Permissions:

    • 'System Admin' permissions are required to alter another users permissions via 'Settings'.

System Permissions

  • Mobile Requests Only

    • This setting will default the users login page to the 'Field View'. The user will be able to log into the Mobile App and Field View on the desktop.

    • When this permission is selected, you have the added ability to 'Lock the ability to change the UoM in Requisitions'.

Special Roles

  • System Admin

    • Gives 'System Admin' permissions with access to all areas of StructShare, ability to add and edit users, adjust the default 'System Settings' and make adjustments to the Items Database. Users with 'System Admin' permissions are automatically added to all new projects.

  • Project Admin

    • A user with the 'Project Admin' permission enabled has access to the project module and the ability to view PO pricing. Users can view the RFQ tab, create and send RFQs, view the supplier submitted quotes, upload a supplier quote on behalf of the supplier and select a supplier during a request. This permission does not allow the user to generate a PO from the RFQ or send a request direct to a supplier unless the 'Submit to Suppliers' permission is checked.

  • Invoices Admin

    • Has access to all areas relating to Invoicing including uploading invoices and assigning invoices to projects and orders. Invoice Admins do not have access to the 'Items Database' and 'Warehouses' screen and the 'Settings' permissions are limited.

  • Warehouse Admin

    • Hold the permissions to add, edit, & delete items from the Warehouses & Item Database. After the 'Warehouse Admin' permission is checked, you can then add the 'Warehouse' that this user is an Admin for.

User Permissions

  1. View & Request

    • User would be able to view selected projects and create Material Requests.

  2. Can Approve Order

    • User will be able to approve orders / RFQ’s and send to the office to submit to Supplier.

  3. Submit to Suppliers

    • User will be able to submit orders and RFQ’s to the suppliers. Not giving this permission will require approval requests to the office instead.

  4. Notifications

    • Receive notifications for the project activities and chats.

  5. Join External Chat

    • User will be able to see and send messages to suppliers and access quotes.
