Objective
How to create an order using ‘Free Text’.
Background
‘Free Text’ can be used to add items to any order type in StructShare.
Things to Consider
A ‘System Admin’ can ‘Disable free-text input in order creation’ in the ‘System Settings’. If this setting is selected, you will not have the option to use ‘Free Text’ or add an item via 'Use as Entered'.
The ‘Units of Measure’ are regulated in ‘Free Text’ and you will only have the option to use a ‘Unit of Measure’ that already exists in the StructShare system.
Steps:
Select ‘Create Order’ on the desktop or mobile application
Select any order type
Select the Project
If you have the permissions to select a Supplier, select a Supplier
Select the ‘Free Text’ option on the right hand side of the screen
When the ‘Free Text’ box opens, you can type in the items you need to add to your list by following the format ‘Quantity, Units of Description’.
If the ‘Unit of Measure’ does not exist in StructShare, you will have the option to fix the error by selecting an available ‘Unit of Measure’.
If you do not follow the suggested format, you will still be able to add the item to your list but the ‘Item Name’, ‘Unit of Measure’ and ‘Quantity’ will not populate in the correct fields and will need to be adjusted prior to sending the order to a Supplier.
Once your list is complete, select ‘Create My List’ which will take you back to the ‘Create Your List’ screen.
Select ‘Continue’.
Enter any of the necessary fields prior to sending your order.
Select ‘Request Approval’ or ‘Place (or Save) Order’ based on your permission level and order type selected.
