Why This Matters
The Ambassador Program lets your customers refer friends and family through their customer portal — and earn rewards for every referral that becomes a closed project. But before any of that can happen, you need to activate the program and configure a few settings.
This guide walks you through turning on the referral permissions, setting the reward amount, and choosing where referrals land in your system.
What You'll Need
Admin access to SubcontractorHub
A reward amount in mind (the dollar amount customers earn per successful referral)
A decision on whether referrals should land in the Leads or Customers module
Step-by-Step Instructions
Step 1: Open Your Settings
Click "Hi, [Your Name]" in the top-right corner and select Settings.
Step 2: Go to Referral Settings
Scroll down and click on Referral Settings.
Step 3: Click Edit
Click the edit icon on the far right of the Referral Settings section.
Step 4: Enable the Program and Set the Reward
Turn on the permission toggle to activate the Ambassador Program.
Then enter your Reward Amount Per Closed Won Proposal — this is the dollar amount each customer earns when their referral becomes a successful project.
Click Update to save.
Step 5: Confirm Activation
You've now activated the referral program! Customers will see the Ambassador section in their customer portal.
Step 6: Configure Where Referrals Land
Now you need to tell SubcontractorHub where to put incoming referrals. Go to the Public Proposal section of your settings and click the Edit icon.
Step 7: Choose the Referral Destination
From the "Ambassador Portal Leads Default Module" dropdown, select where referred leads should appear:
Leads — Referrals show up in your Leads module (best if you want to qualify them first)
Customers — Referrals go directly to the Customers module (best for warmer referrals)
Step 8: Save Your Changes
Click Update to save the referral destination setting.
Real-World Example
Sarah owns a solar installation company and wants to launch a referral program. She enables the Ambassador Program, sets the reward to $300 per closed project, and chooses the "Leads" module as the destination — that way, her sales team can qualify referrals before creating proposals. Within the first month, she gets 8 referrals from happy customers, and 3 of them convert to projects. That's $900 in customer rewards and three new jobs with zero advertising cost.
Pro Tips
💡 Pick a reward amount that motivates without cutting into margins — $200–$500 per project is typical for solar and roofing
💡 Choose "Leads" as the destination if your team wants to qualify referrals first; choose "Customers" for a faster pipeline
💡 Mention the program during your welcome call so customers know about it from day one
