How to submit a DBS application for countersigning

Once the applicant has completed their DBS application, the admin who created the DBS check request will receive an email to receive and approve the application.

If the applicant successfully completed the Digital ID check, you will see the confirmation Digital Identity Provided by: YOTI Limited in their application. You will not need to verify the documents or the identity of the applicant.

If you do not see the YOTI confirmation as above, their Digital ID check is not complete. You will need to confirm their identity following the UK Government guidance here: https://intercom.help/talent-clouds/en/articles/8889853-how-to-confirm-an-applicant-s-manual-id-check-for-dbs .

You can also look in the audit log to see when the digital ID was imported 'DigitalIDImported' below. If there is no line for a Digital ID import, then it has not been imported.

Once the identity is confirmed, you should review the application to ensure the correct level of check has been requested and the applicant has completed the check correctly.

To approve, click Submit to Countersigning (outlined in green).

To request that the applicant make changes, select Request Change (outlined in red).

Please note that only the admin who requested the DBS check can take these actions. If the admin is on leave for more than 48 hours, you can request that Talent Clouds approves the application on your behalf by reaching out via Messenger.

You can cancel a DBS check at any point before it is submitted for countersigning, however you will be charged the Talent Clouds admin fee. To cancel a DBS check that has been submitted for countersigning, please reach out to Talent Clouds via the messenger. If the check has already been submitted to the DBS service, you will be charged the Talent Clouds admin fee and the government fee.

The countersignatory might have questions regarding the role and level of DBS check requested, if so Talent Clouds will be in touch. This can be avoided by ensuring that the job role is descriptive enough to demonstrate the role's requirements.

Once the application has been signed by the countersignatory and submitted to the DBS, you will see additional fields in the 'DBS Details' section, such as the Application ENumber. DBS result times can vary and are out of the hands of Talent Clouds once submitted.
