Once your client has provided interview dates and times, and confirmed who they are wanting to have interviews with, you can move into the interview process.
To schedule an interview, select the 3 dots next to the candidate’s name click “Arrange Interview” then the below pop-up will appear:
“Candidate” and “Job” will auto-fill. You will need to enter the “Date”, “Time” and “Interview Type”. To the right you then have 2 sets of fields:
1. Confirm - Have you confirmed the date/time with the client or candidate yet?
2. Result - Have you received feedback back from the client or candidate yet?
If this is going to be an online meeting, paste the Zoom/Teams etc. link into “Conference Details or Address”. Click “Update”.
Sending Interview Confirmation - Candidate/Contact
After entering the interview details, at the top of the Job Record select the “Interviews” tab. Listed you will see all the interviews that have been arranged. Navigate to the Interview you want to send confirmation to the candidate/contact on, and click the “Interview Date”.
In the pop-up window that appears, select “Action” in the top right -> “Email Candidate/Contact re Interview”.
Quick Tip - this is also where you can edit the date/time/location etc of the booked interview if it needs to be rescheduled.
You will then be able to select any templates that have been built in your system (I have built one especially for interview confirmation), make any last minute tweaks or changes, then send out the email to the contact/candidate. Once happy with the email, select “preview” and then “send”.
Interview Completion & Feedback
Once the interview has completed, navigate back to the Job Record -> “Interview” -> select the “Interview Date” on the interview you want to complete. In the pop-out you can update the “Status” -> Closed, and complete the interview feedback fields with the client/candidate feedback. Change the “Result” fields to “Yes” for both client and candidate. Once you’re happy, click “update” in the top right.
In the “Interview” tab, you will then be able to quickly see the feedback and location of the interview that was completed, as seen below:
2nd+ Interviews
You could redo the previous two steps again, however a quick tip to easily book in another interview is to do this through the Interviews Tab. In the now “Closed” interview, right click the “candidate number” -> “Add” -> “Interview”. Then repeat the same process as before for all the interview rounds required.
