πŸ“Œ What Are Invoices in TalleFlow?

Invoices in TalleFlow are professional billing documents you send to clients to request payment for services or products. They can be created on their own or as part of a proposal (where an invoice page is included by default).

Invoices are integrated with Stripe for secure online payments and can be linked directly to your projects, so your financials stay organized.

πŸš€ How to Create an Invoice

  1. Go to Documents in the main navigation

  2. Click Create Document

  3. Select Invoice as the document type

  4. Choose whether to:

    • Create a reusable Template for ongoing use

    • Create a one-time File linked to a specific project or contact

  5. In the editor:

    • Your invoice will already include the Invoice tool on the canvas

    • Add your business and client details

    • Set payment terms (due date, payment instructions)

    • Apply taxes or discounts if needed

  6. Name your invoice clearly (e.g., β€œJuly Website Maintenance – Invoice #1043”)

  7. Save your work and send it via email or through the client portal

🧩 Essential Invoice Elements

Every invoice should include:

  • Your Business Info – Name, logo, address, contact details

  • Client Info – Billing contact and address

  • Invoice Details – Number, issue date, due date

  • Line Items – Description, quantity, rate, amount

  • Totals – Subtotal, taxes, discounts, final amount

  • Payment Terms – Methods, instructions, due date

🧾 Adding Line Items & Packages

When you create a new invoice in TalleFlow, the Invoice tool is already on the canvas by default.

  1. Click on the Invoice tool on the canvas β€” this opens the Properties Panel on the left side.

From the Properties Panel, you can:

  • Upload your company logo

  • Set the issue date and due date (defaults to today and tomorrow, but can be changed)

  • Optionally add a PO number

  • Add packages and sub-items one by one, or

  • Search and insert pre-existing packages from your Packages page

  • Optionally include the Pay Now button β€” linked to your Stripe account for credit card payments (you can remove this button if not needed)

  • Add discounts β€” either a fixed price or a percentage

Important:

  • If you set a package price, you cannot set individual service item prices inside that package.

  • If you do not set a package price, you can set prices on the individual service items β€” and the total of all those service item prices will automatically become the package total.

  • The invoice total at the bottom is calculated from the package price or the sum of all package totals.

Saving Your Invoice:
After adding line items or packages, click Save Invoice for your changes to appear on the canvas.

🧾 Bill To Information Auto-Fill

When you send the invoice to a contact, the Bill To section will automatically be filled with that contact’s details.

To preview this:

  1. Click Send to Contact

  2. Select the contact you want to send it to

  3. Click Done

  4. Click the eye icon at the top right of the editor to preview how the invoice will look with the Bill To information included.

🎨 Customizing Your Invoice

With TalleFlow’s drag-and-drop editor, you can:

  • Apply your brand colors, fonts, and logo

  • Add custom fields for industry-specific details

  • Configure tax settings per line item or invoice total

πŸ’° Payment Integration

Invoices integrate directly with Stripe so clients can pay online:

  • Credit cards (Visa, MasterCard, AmEx, Discover)

  • ACH bank transfers (US)

  • Secure PCI-compliant payment handling

  • Embedded payment links in the invoice

  • Automatic payment status updates

πŸ“€ Sending Invoices

When your invoice is ready, you can:

  • πŸ“§ Send via Email – Direct from TalleFlow to the client

  • πŸ”— Share a Link – Secure invoice link for online viewing

  • πŸ‘₯ Client Portal – Let clients view and pay invoices alongside their project docs

πŸ“Œ Invoice Statuses in TalleFlow

  • Draft – Still editing, not sent

  • Sent – Delivered to the client

  • Paid – Payment completed

  • Overdue – Past due date without payment

  • Cancelled – Invoice voided

πŸ’‘ Best Practices

  • Send promptly – Issue invoices as soon as work is complete

  • Be specific – Include clear descriptions for each line item

  • Set clear terms – Due date, accepted payment methods, late fee policy

  • Follow up – Remind clients before and after the due date if unpaid

  • Keep records – Store copies for accounting and tax purposes
