In Taylora, you can share elements privately with one or more people using two distinct methods.
Precondition: Ensure Visibility Is Set to "Share Privately"
Before sharing an element privately, confirm that its visibility is set to "Share Privately". This setting allows the element to be shared securely with specific individuals.
To learn how to change the visibility of an element, refer to this article.
Once the visibility is set, you can choose between two sharing methods:
Method 1: Invite via Email
The email invitation method allows you to send a personalized invitation directly to the recipient’s email address. This invitation grants them read permission to the shared element and ensures that only the invited person can view it.
When you send an invitation, the recipient will receive an email with your name as the sender, details about the shared element, and a clear call-to-action button to access the content.
To share via email:
Click the Share button, available on the element’s card or its dedicated page, to open the sharing panel.
In the sharing panel, enter the email address(es) of the people you want to invite in the field labeled "Invite or add email addresses...".
Once you’ve added the addresses, click Share to send the invitations.
After the invitations are sent, you’ll see a list of invitees in the sharing panel. For each person, you’ll find details such as their name (if they already have a Taylora account), their email address, and the permissions they’ve been granted.
One of the advantages of Taylora is that you can invite anyone, even if they don’t already have an account. They’ll be prompted to create one when they accept your invitation.
NB: Once you have invited a person you can still remove the assigned permissions at any time.
Method 2: Sharing via One-Shot Link
If you prefer not to use email or don’t know the recipient’s email address, you can share your element using a one-shot link.
This unique link contains a one-time-use token that grants read access to the first person who uses it.
To generate and share a one-shot link:
Open the sharing panel by clicking the Share button on the element’s card or page.
Click the Copy Link button to generate the link.
On desktop, the link is automatically copied to your clipboard, ready to paste wherever you like—such as in a chat or an email.
On mobile, a modal will appear, allowing you to share the link directly via an app or copy it to your clipboard.
When the recipient clicks the link, they’ll need to log into Taylora (or create an account if they don’t have one).
Once they’ve accessed the content, their details will appear in the sharing panel under the list of users with read permissions.
Both of these methods provide flexibility in how you share your content while ensuring that only the intended recipients can access your private elements. Now that you know how to share privately, you’re ready to take full advantage of Taylora’s private sharing features!
