Using questionnaires, you can create your own response forms, which will provide you with more information about candidates right from the start and help you with quicker selection of suitable candidates.
Creating a questionnaire
In complete Teamio you will find the tab Questionnaires in the account settings. Through Manage questionnaires you have the option to create a questionnaire.
In Manage questionnaires, you can create a completely new questionnaire by clicking the Add questionnaire button in the top right corner, where you will fill in the basic details of the questionnaire.
Then you enter the basic details about the questionnaire:
Internal name of the questionnaire
This title is only for your distinction in Teamio, the candidate will not see the title.
Questionnaire language
Determines in which language the mandatory questions name, surname, and e-mail address will be displayed.
View help
For some questions, you may want to insert help; you can choose whether to display it as text under the question or via a question mark icon.
Thank you text
After successfully completing the questionnaire, the candidates will see a screen with a thank you message. Here you can set the wording of the text.
Once you have everything filled out, you can proceed to the next step by clicking the Continue button, where you will start adding questions.
Adding questions
The questions name, surname, and e-mail address are mandatory questions and cannot be removed or edited. They serve to identify the candidate. On the other hand, for example, a phone number or CV is an optional question and you can easily add it.
First, choose the type of question:
Standard
A list of predefined questions, the most frequently asked queries that you can use. These are questions about the desired salary, driver's license, language skills, phone number, or attaching a CV.
Create new
If you want to learn something extra from the candidates, define your own questions. For example, Why would you like to work here? Where did you learn about our job opening?
Own saved
If you want to use a custom question in multiple questionnaires, you can save it and select it from your own list of questions next time.
Standard
For example, you wish to add a question about the highest education attained. So choose the option Standardand then select the question The highest acquired education And confirm with the button Insert.
A page will then open where you can define the question in more detail. You can write your question wording, which will be displayed to the candidate in the questionnaire. Then also the wording of any help – it is not a mandatory item, but if necessary, you can clarify the question through the help. You have the option to mark the question as mandatory. The candidate will not be able to submit the questionnaire without answering it.
Since this is a standard question we use, there are already set possible answers. However, you can remove some options, for example, it is enough that the candidate has a university education, and I don't care if they have a bachelor's or an MBA.
TIP: In the Standard questions, you will also find a question about LinkedIn profiles. If the candidate answers the question, a link to their profile will be directly written into the Candidate card.
Create a new question
If you are adding a completely new question, you can choose whether the question should be text, meaning the answer to the question will be a text field, or the candidate should choose from the options you provide. You add the question through the option Insert.
Subsequently, a page will open where you will fill in the internal name of the question, which is visible only in Teamio, the official wording of the question, which the candidate will see, and optionally you will also insert the wording of the help text. You will choose whether the question should be mandatory or not.
Depending on whether you select the question as Text or Multiple choice, the question settings options will differ.
Text
If you want a text question, you choose from the predefined options of what format the question should be. You may require, for example, an e-mail address The system will ensure that the entered format corresponds to that.
Multiple choice
You choose whether the questions should be displayed as a dropdown menu or as checkboxes. And you also choose the maximum number of possible answers, i.e. how many answers the candidate can select.
Finally, you fill in the actual answers from which the candidate can choose.
You can add this created question to your saved questions. After saving, you will return to the question settings to add another question.
TIP: We definitely recommend saving your own created questions in Saved Questions. Firstly, for the next questionnaire, you will have the question saved (it can be edited later) and additionally based on the answers to these custom questions, you can then search for suitable talents in the Candidates section.
Graphic elements
If you want to visually separate some questions from each other, you can insert a Separator or text. The separator will graphically divide your questions. You can insert an empty line, a horizontal line between questions or have a series of questions in a box.
Using the graphic element Text, you can insert a header or footer into the questionnaire and write additional information for candidates, or you can also insert what is called free text directly between questions.
At any time during the creation of the questionnaire, you can preview how the questionnaire looks through Preview.
