Overview

With our latest series of releases, we've focused on automating recruiter workflows, improving access control and making reconciliation with external systems easier.

With default user roles and permissions, the process of managing users and permissions at scale is now easier than ever, and you can rest assured that your sensitive data remains protected.

In addition, Ashby users can now automatically create jobs and openings from TeamOhana, reducing the manual work of adding job details and ensuring jobs are linked to the correct headcount in TeamOhana.

Finally, the TeamOhana ID bridges the gap between external systems, enabling customers to track the entire lifecycle of an employee.

We've covered these updates (and more!) in greater detail below.

New features

Default user roles + custom roles

User Roles allow admins to customize the specific collection of permissions assigned to a user type (like Hiring Manager, Recruiter, Finance, and so on.) User Roles also incorporate access control, which determines what headcount, employee records and employee record details a user can see.

Before adding new users to TeamOhana, you'll assign them a user role which will determine the default access that they'll have once added to the platform.

Check out our Help Center article for more information and how to create and set user roles.

Creating jobs in Ashby

Recruiting teams can now create jobs and openings in Ashby straight from the TeamOhana platform.

This how-to article walks through the job creation process in depth.

TeamOhana ID

Employees are now given a unique TeamOhana ID that is assigned to them the first time they are claimed in the system. The TeamOhana ID stays with the employee for life, and it enables easy reconciliation across external systems, especially if employees are tied to multiple headcounts over time.

Learn more about TeamOhana IDs here.

Enhancements

  • Actual Start Date added for hired / offer sent headcount

  • Employment types normalized

  • User email able to be updated from the user profile

  • Justification box under Edit headcount > Basic details increases in size as the user types
