Introduction: What is TeamOhana?
TeamOhana is a single source of truth for your company's approved hiring plan. The benefits to Division and Department Leaders include:

High level division- and department-wide metrics so you can make decisions in real time
With collaboration and communication built directly into the tool, you can run a more streamlined process and eliminate the noise that inherently exists when working out of multiple tools and spreadsheets.
The Division / Department Lead user role
By default, the Division/Department Lead roles in TeamOhana have the following permissions enabled:
Request new headcount
Manage all headcount (both current employees and approved headcount within the division/department will be visible)
Manage headcount compensation (for all headcount within the division/department)
Manage employee compensation (for all employees within the division/department)
View headcount budget
Access hiring tracker
Access dashboard
The attribute-based access control (ABAC) for these two roles grants access to employees and headcount at every level within the user's own division/department. The admin of the account has the ability to update both the permissions and the ABAC for these users at any time.

Activating hiring for your approved headcount
All approved headcount for your team or department can be managed from your Hiring Plan. When it's time to begin recruiting for your headcount, you can mark it as 'ready to hire' by following the instructions in this guide.
When you mark a headcount as 'ready to hire' a notification is sent to the Talent leader, which is their signal to assign the headcount to a member of their team. The recruiter can then kick off the hiring process and align with you on job description, timelines, and success criteria.
Requesting new headcount
From the Home page, you can both add a request for net new headcount, as well as see all pending and proposed requests for your division/department.
As a Division or Department leader, you might request your own headcount or you could request headcount on behalf of a hiring manager in your org. The request experience in TeamOhana will enable you to submit requests for any department that you have access to.

Creating a backfill request
If you need to backfill a current member of your department, you can create the request directly from their employee profile in TeamOhana. When you leverage this workflow, the current employee's information will autofill on the request drawer so that you don't need to find their compensation, reporting manager, or job level in your HRIS - TeamOhana will populate all of that information for you.
If you are creating a request as part of the terminations workflow, you can ensure that the process to backfill the departing employee can begin as soon as possible.

Requesting changes to approved headcount
Your headcount may need changes to basic details after its been approved. To make any budget impacting changes, you will be required to submit the change for approval.
The benefit of this workflow is that any and all changes made to an already-approved headcount will be tracked on the "history" tab of the headcount. If unauthorized changes have occurred, all information around the updates (who made them, and when) is tracked.

Approving requests
Most division and department leaders are in at least one approval flow, whether it's for new headcount, change requests, or terminations within their division/department. This gives leaders control over and visibility into budget impacting changes, and provides the opportunity for them to assess business needs before allowing headcount to be added to the hiring plan.
Approvals can take place within TeamOhana, or directly from Slack as long as the TeamOhana Slack app is installed.
From TeamOhana, all approvals are tracked in the "My Approvals" widget on the home page. Each headcount can be opened and approved from the widget, or the entire widget can be expanded into a full page, from which approvals can be made in bulk.

Overseeing the headcount budget for your division/department
As the division/department leader, you may be responsible for overseeing the hiring plan budget for your org. The budgets and forecast tab not only highlights your overall variance from the budget, but it also allows you to see on a per-role basis exactly how the budget is being impacted.
This enables leaders to understand how to control their spending and make adjustments so that they hit their hiring goals, but don't overspend.

Overseeing the total budget for your department/division
As the division/department leader, you may also be responsible for overseeing the total budget (for both headcount and existing employees) for your org.

The tiles across the top of the headcount ledger enable you to filter the roster by headcount type (starting, hired, terminations, etc) so you can see the exact cost breakdown of your division/department.
