How to view schedule change requests from your team.

Plans change and surfers often need to change or swap their shifts to fit around their other commitments or appointments.

You can review and action these requests directly in Surfboard. Here's how...


How do surfers make requests?

Surfers can request to change their published shifts from their own schedules. They can choose to change the date, start or end time of their shift. Once they submit a request it will instantly be sent to the manager account for review.


How do I review a request?

  • Once a request is submitted it will instantly be sent to the manager account for review.

  • You can either see requests in the schedule or in the requests inbox πŸ“₯

  • Shifts with pending requests are marked with a clock icon (πŸ•’).

  • Click on a shift with a pending request (πŸ•’)

  • You'll see an alert informing you of the request a surfer has made. Click review request

  • A modal will open showing you:

    • The current scheduled shift

    • The new shift that the surfer would like to work instead

    • A note from the surfer explaining why they'd like to change their shift

    • The date the request was sent

    • How many requests this surfer has made in the last 3 months

    • The status of a request

  • You can then choose to accept or reject the request, and to include an optional reply back to the surfer.

    • If you reject the request, it will be rejected and the shift will stay the same

    • If you accept a request, the shift will be edited and published right away. Any activities will be copied across and cropped to fit.

  • Surfers will receive email notifications to let them know the outcome of their request.


What happens if a surfer moves a round robin shift?

If you accept a request to move a round robin shift:

  • The shift will be moved to the new date

  • Any time off in lieu will be removed. It will not be rescheduled to a new date. If you'd like to grant time off in lieu you can delete any shifts from that day.


How do surfers swap shifts with other surfers?

If a surfer wants to swap a shift with another surfer they can submit two matching requests. For example, Ben wants to swap his late shift with Natalie's early shift

  • Ben submits a request to change his late shift to the same hours as Natalie's early shift

  • Ben includes a note to say "I want to swap with Natalie"

  • Natalie then submits a request to change her early shift to the same hours as Ben's late shift

  • Natalie includes a note to say "I want to swap with Ben"

  • You can then view and accept both requests to facilitate the swap
