Create or edit a template

Written by Cheryl Evans

A template is used to set expenses and revenues for a specific crop and yield, which can then be applied to a field. Once applied to a field, it becomes a Crop Plan.

  1. To build and compare scenarios, templates must be built and applied to fields.

  2. Templates are listed on the right-hand side of the page.

  3. Templates can be Personal, Shared or Public.

    • Public templates can only be viewed and duplicated.

4. If a crop that you wish to make a template for isn't listed, it can be added to your preferred crops in location settings. See Settings for more information.

5. Templates can be added by clicking '+' next to a crop name.

6. Clicking the three-dot icon on the right side of a template allows you to:

A. Edit: Change values or add activities or receipts.

B. Duplicate: Quickly recreate similar templates by duplicating and simply editing details.

C. Delete: Delete a template.

💡If you choose a shared template, you will only be able to view or duplicate it. The duplicate template can then be viewed in your personal templates and can be edited or deleted.

7. The Share Template button allows you to share a template with other users. This means it will no longer be personal.

  • Templates are automatically no longer personal when they are applied to a field and can be viewed or used by other users with access to view those fields.

💡Until templates are applied to a field, they are personal, meaning no one else can view the information within that template.

Create/Edit a Template

  1. Once, New template is selected, complete the following information.

    A. Name - select the pencil icon to edit the name of the template

    B. Crop - the crop will default. However, it may be changed if desired.

    C. Yield Goal - enter a yield goal and unit of measure as well as a Low and High yield value.

    D. Personal/Shared Template - select Share Template to share a template with a location. This will allow others to use and make changes to the template (pending permissions).

    E. Phase Set - select a preferred phase set from the drop-down to apply it to the template. To learn more about creating, see Custom Phase Sets help guide.

    F. Cost View - set a cost view of Per Acre or Fixed.

2. Incurred costs are categorized by point in time in a season.

A. Revenue - Record a sale of a crop or other means of making a return on the investment.

  • Receipts apply to the whole season and can be calculated in total, per bushel or per acre.

B. Pre-Season - Costs incurred before the growing season. Some examples could be pre-plant herbicide application or fertilizer.

C. Plant - Costs incurred at planting time. Seed and in-furrow fertilizer are a few possibilities.

D. In-Season - Costs incurred between planting and harvest or during the growing season. Herbicide, fungicide or in-season fertilizer applications are some examples.

E. Side Dress - Costs incurred for fertilizer after planting and before harvest.

F. Harvest - Costs incurred during harvest. An example would be picking crews, fuel or machine hours.

G. Post-Harvest - Costs incurred after harvest. An example would be transportation or storage costs.

H. Packing - Costs incurred during packing. An example would be boxes or labels.

I. Other - Any cost that may not fit into one time period or just doesn't fit in any of the categories above.

💡There is now the capability to customize Crop Plan phases or hide a phase if needed (ie, A crop plan for a permanent crop and the "Plant" phase is not needed, it may now be 'hidden"). Please refer to Organization help for more information.

3. There are multiple categories that can be added to a Crop Plan. Below is a brief overview of each.

A. Plus Icon - Use this option to select a category

B. Nutrient - Fertilizer products from the TELUS Agronomy system are displayed in this category, as well as any custom products that may have been added for a location.

C. Irrigation - Use this option to enter irrigation expenses.

D. Plant - Enter in variety and planting rate.

E. Tillage - use this option to capture any tillage expenses for a field.

F. Other - Overhead expenses or expenses that do not fit into one of the other categories can be entered with this category.

G. Harvest - Capture any harvest expenses using this category.

H. Crop Protection - Products from the TELUS Agronomy system will be displayed here as well as any custom products that may have been added for a location.

I. Service - This category can be used to track application costs or any custom services that may have been added in Setup.

4. Click on the three-dot icon inside an activity type tile to edit or delete an activity.

5. Revenues apply to the whole season and can be calculated in total, per bushel or per acre.

  • In order to see a complete Plan Summary chart or the Break-Even & Variance chart, at least one receipt/revenue must be entered.

💡Users can now convert crop plans to crop records.

Expense Groups and Product Bundles

  1. The following section will review how to create Expense Groups and Product Blends and the differences between the two.

    A. 3 Dot Icon - select this icon to load the options for Actions

    B. Save Expense Group - use this option to save multiple line items as a single entry so you can add multiple items quickly to another template.

    C. Load Expense Group - after saving an Expense group, use this option to load them to various phases within a Crop Plan.

    D. Save Product Bundle - use this option to save multiple products as a blend. Products saved this way will display as the Blend Name on reports instead of individual line items. (With the exception of the Input Summary which will display each product individually)

    E. Load Product Bundle - after saving an expense group, use this option to load them to various phases within a Crop Plan.

    F. Create a Crop Record - use this option to create a crop record based on activities in the phase.

    G. Sort By Date - when entering activities, a date can also be entered. Use this option to sort activities by the entered date.

    H. Remove All - to remove all activities within a phase, use this option.

Expense Groups:

  • Expense groups allow multiple line items to be quickly added to a new template without having to enter each item again one by one. An Expense Group can be Personal or Shared with an Organization. An Expense Group cannot be edited after it is saved.

Product Bundles:

  1. Product Bundles allow multiple products to be saved as one Bundle. Only the name of the Product Bundle is displayed on the printable. While viewing a Crop Plan, a bundle may be expanded to view each individual product. The Product Bundle option is helpful when working with fertilizer blends or chemicals that are frequently sold together.

  2. To save a product bundle, select the 3 dots at the top of the section and choose save product bundle.

  3. Next, name the blend and choose the products to be included. Once complete, select save.

4. After a Product Bundle is saved, it can be loaded into another template for use.

5. A product bundle saved in a plan can easily be converted into a crop record.

Template Analysis

Easily visualize cash flow throughout the season and for various activities throughout a farm or an entire operation.

  1. Plan Summary: Displays a bar chart of Revenues, Expenses and Net Profit.

2. Break Even & Variance: Displays variance from the actual Net Profit of the farm or operation based on high and low yield and price levels given in your crop template.

  • Grey is what the specified level is in the plan.

  • Yellow represents break-even.

  • Red represents a loss.

💡At least one Revenue source must be added in order to display Break Even & Variance.

3. Expenses by Category: Helps to visualize the area of the operation and/or time of year that incur the most or least expenses.

4. Expenses by Phase: Helps to visualize the time(s) of year that incur the most or least expenses.

5. The delete button at the bottom right will delete the template.

6. A report is available by clicking the Print button. Below is an example of the template report. Notice that a logo and company information does not display when printing a template. Once a Template is assigned to a field and becomes a "plan" company information will display.
