TA - Viewing & Editing Assessments

Once an assessment has been submitted as under review from the PAF Reader, it can be viewed and edited in Telus Audits.

The certification body contacts will be able to view and annotate the assessment, but only the assessor will be able to edit it. For self-assessments only any site contacts will be able to view and edit it the self-assessment.

Please see the relevant sections below for details on how to view, edit or annotate an assessment.

Viewing an Assessment

An assessment can be viewed in the Reports area by using the Audit Response Report:

Please note:

  • If you are a site user, you will only be able to view the audit here after the auditor or administrator has published the audit to you.

Editing an assessment

Please note:

  • Only assessor can edit standard audits i.e. any audits that are not self-assessments.

  • Only site contacts (and not assessor) will be able to view but not edit self-assessments.

  • If you are not able to edit the audit as detailed below it is either because you do not have permission to edit the assessment or the assessment is not set at the correct status to enable you to edit it.

To edit an assessment:

  1. From the Home page, click Complete an assessment online:

  1. Enter the name of the site or assessment and click to select:

  1. Click Ok in the bottom right of the box.

  1. If validation has been passed on the assessment you have chosen, you will have the option to view it as read only or to check it out to make further edits:

  1. The screen that opens allows you to edit the audit by choosing questions from the list on the left of the screen and adding responses, observations, attachments and annotations on the right:

Please note:

  • Please note you can move through the questions and sections using the green arrow buttons in the bottom right and left of the screen.

  • If you’re an assessor wanting to view the annotations on an assessment, questions that have been annotated will be highlighted in yellow:

  1. You can search or filter questions on the right of the screen and view guidance:

  1. To check your progress (and to validate your assessment if required), click Check Progress.

  2. To return and make more edits at a later date, click Save for later at bottom of the screen.

  3. If you have finished editing the assessment, click Finish and choose a status:

  1. Then click Finish again:

Please note:

  • If your assessment needs to be validated you will need to pass the validation before you can finish it.

  • If required, you can change the status when you finish the assessment (as shown in screenshot above):

    • Use Under Review if the assessment needs to be reviewed by other administrators or if you are an assessor passing it back to an administrator.

    • Use Assessor Review if you are an administrator passing the assessment to an assessor.

    • Use Site Review to publish the assessor to a site.

    • The Closed status is the final status so use this if no further action is required.

Annotating an assessment

If you are a Certification Body user (i.e. administrator) you will have permission to annotate an assessment. This does not change the responses, observations or corrective actions but enables you to add some notes that can then be viewed by the assessor. Annotations do not appear in reports.

To annotate:

  1. Follow steps 1 to 4 above.

  2. Review the assessment and add annotations to individual questions or sections in the annotation box:

  3. If you want to return and make more edits at a later date, click Save for later at the bottom of the screen.

  4. If you have finished editing the assessment, click Finish and select the audit status:

Please note:

  • When you click Finish, you can change the status if required:

    • Use Assessor Review if you are an administrator passing the assessment to an assessor.

    • Use Site Review to publish the assessment to a site.

    • The Closed status is the final status so use this if no further action is required.
