There are two ways to send emails in Tezzera. You can send them yourself from a project's Inbox tab, or send them automatically with the Send Email action in a workflow. This guide covers both.

The Project Inbox
Every project has its own Inbox, so your client emails stay with the project instead of getting buried in your regular inbox.
To open it, go to any project and click the "Inbox" tab at the top of the page (next to Invoicing).
On the left, you'll see the New email button and a menu of folders under Organize:
Inbox: emails you've received that are connected to this project
Unread: only the emails you haven't opened yet
Sent: emails you've sent manually, plus automated emails Tezzera has sent for this project (more on this below)
Starred: emails you've starred. Click the star icon next to any email to save it here.
Templates: your saved email templates
You can also use the Search messages bar at the top to find a specific email.
Sending a New Email
Click "New email" at the top of the left menu
A new message window will pop up in the bottom right corner of your screen (click the expand icon in the corner if you'd like more room)
To: Type in your client's email address, or click the "Select from project" dropdown on the right. Anyone you've already invited to this project will appear there so you can add them instantly.
Subject: Add your subject line (this field is required).
Signature: Choose a signature to include in your email. You can build your signature with the rich text editor, or switch to HTML view if you want to use code to design something a little more custom.
Message: Write your email using the text editor. You can:
Change text styles and heading sizes
Bold, italicize, or underline text
Add numbered or bulleted lists
Add links
At the bottom of the email, you'll find:
Send: sends your email
Import: pulls in one of your saved templates
Save template: saves the email you're writing as a new template
Trash icon: deletes the email
Email Templates
Find yourself writing the same emails over and over? Save them as templates.
Creating a template from the Templates tab:
In your project Inbox, click "Templates" in the left menu
The New email button will change to "New template." Click it.
Give your template a name
Choose whether the template should be available only in this project or in all projects in your workspace
Write your template and save it
Saving any email as a template:
Writing an email you'll want to reuse? Click "Save template" at the bottom of the email. You'll be asked to name it and choose whether it's available in just this project or all of them.
Using a template:
When writing a new email, click "Import" at the bottom and select the template you want to use.
💡 Pro tip: Make your most-used templates (welcome emails, revision round check-ins, final file delivery) available in all projects so they're always ready to go.
The Sent Tab + Automated Emails
The Sent tab shows every email that's gone out for this project, both the ones you've written and the ones Tezzera sends automatically.
When you open an email in the Sent tab, you'll see:
Who it was sent to
When it was sent (top right)
When your client opened it (next to the recipients)
Automated emails that appear in your Sent tab include:
Invoice emails: the email your client receives to view and pay an invoice
Project invites: when you invite a client to join the project
Task comments and activity: notifications your client receives when they're tagged in a comment or task activity
Proposal emails: when you send a proposal
Contract activity: like when you send a contract and your client is asked to sign it
You'll see the exact email your client received, so you know exactly what they saw.
💡 Pro tip: Before following up on an unpaid invoice or unsigned contract, check the Sent tab. If your client hasn't opened it yet, it may just be sitting unread (or hiding in spam!).
Sending Emails Through Workflows
You can also send emails automatically using workflows, like a welcome email when someone fills out your inquiry form.
Adding a Send Email action:
Go to Workflows in your sidebar
Create a new workflow or open an existing one (You'll need to select the initial trigger that starts the workflow first.)
From the Actions panel on the left, add "Send Email" to your workflow
Setting up your workflow email:
To: This field needs to pull an email address from an earlier step in your workflow. For example, if your workflow starts when your inquiry form is submitted, select the form question that collects the inquirer's email. Without this, your workflow won't know who to send the email to.
Reply To: This currently defaults to no-reply@tezzera.co. (Good news: we're working on custom email domain syncing, so emails sent through Tezzera will soon look like they're coming from your own email address!)
Subject: Your email's subject line.
Title: A heading at the top of your email, styled with the brand fonts from your Brand Appearance settings.
Body: The main text of your email.
Include Button: Check this box to add a button styled with your brand colors. Add the Link where you want the button to go, and a Label for the button text (like "Book Your Call").
Include Logo: Check this box to show your logo at the top of the email.
As you work, you'll see a live preview of your email on the right side of your screen. Click "Save" in the top right when you're done.
📌 Note: The preview is an approximation of your appearance settings. Custom fonts may not display in every email app, so your client may see a fallback font depending on what they use.

What's the difference between project emails and workflow emails?
Project Inbox emails are written by you, one at a time, with a full text editor and signatures. Workflow emails are sent automatically and use a branded layout (title, body, button, and logo) based on your Brand Appearance settings.
An email shows as sent but not opened. Did my client get it?
Probably! Some email apps (Apple Mail especially) block the tracking that tells us an email was opened. A missing "opened" timestamp doesn't always mean your client hasn't seen it. If it's been a few days, a quick check-in never hurts.
Can I customize the email address my emails come from?
Not yet, but custom email domain syncing is in the works!
