Non-ERAS Applicant Import into Thalamus Core

Import your applicant data into Thalamus Core using a CSV file.

1. Create the CSV template

Important: The AAMC ID must match the candidate's actual number. You can find an applicant's AAMC ID in their application. Do not create an AAMC ID. An incorrect number can be linked to another applicant and cause issues with the applicant account. If an applicant does not have a previous AAMC ID, leave the cell blank and contact customercare@thalamusgme.com with a copy of your CSV.

The Thalamus Customer Care Team usually provides CSV import support within 3-5 days. Timelines may vary given the overall volume of requests. The 3-5 day timeline does not apply to other questions and support regarding applicant imports.

  1. Download the CSV file template at the bottom of this article

  2. Contact each applicant to request their AAMC ID (this may be from a previous NRMP Match)

  3. Fill in all required columns and any additional columns you would like to include. Required columns:

    • AAMC ID

    • E-mail

    • First Name

    • Last Name

Note: To import sex or gender data, values must read exactly "Man," "Woman," "Another Gender Identity," or "Decline to Answer."

  4. Once all applicant information is entered into the CSV, continue to the next section

Important: Do not change the names or titles of any columns on the CSV. Column headers are specific to Thalamus requirements.

2. Import the CSV into Thalamus Core

  1. Navigate to the Applicants page. The page will appear empty until your first import.

  2. Select the appropriate option for your program type:

  3. The Import Applicants module will appear

  4. Select Choose File, then select the desired CSV file and select Open. The file will begin to upload automatically

  5. Once the upload is complete, the Applicants Import modal will display the following information:

    1. File Name

    2. Total Records: Total number of applicant records attempted

    3. Valid Records: Number of valid applicant records uploaded

    4. Invalid Records: Number of applicant records uploaded with errors

    5. New Records: Number of new applicant records (applicants not previously uploaded by your program)

    6. Existing Records: Number of existing applicant records (applicants previously uploaded by your program)

    7. Omitted Fields: Number of data fields not uploaded to Thalamus

The modal also includes four tabs:

      • Total Applicants: Confirms the applicants being uploaded to Thalamus

      • Invalid Applicants: Displays errors preventing the file from uploading. Select this tab to view the errors

      • Imported Fields: Lists all data fields imported to Thalamus

      • Omitted Fields: Lists columns in your CSV file that were not uploaded to Thalamus. If a field you expect Thalamus to support appears here, check that the column is labeled correctly in your CSV

  6. Select Export Results to export any invalid applications that failed to upload

Important: Select COMPLETE to finalize the upload. If you do not select COMPLETE, the upload will be lost. Once finalized, your applicant data will display in the Applicant Dashboard table.

  7. Select CANCEL to cancel the upload process at any time

Note: The CSV upload feature is designed to accommodate multiple CSV file uploads throughout the interview season. You can continue adding applicants to the same CSV file, and applicants from prior uploads may remain in your master CSV file.

3. Use Applicant Dashboard Functionality

Once applicant data has been uploaded, the following functionality will appear on your Applicant Dashboard:

  • Select Box: Allows for bulk selection of applicants

    • All selects all applicants on the Applicant Dashboard

    • Full Page selects all applicants displayed on the current page of the data table

    • None deselects all applicants

  • Column Sorter: Select a teal blue column heading to sort rows in ascending or descending order by that column's values

  • Single Applicant Selector: A check box next to each applicant that allows for individual selection

  • Applicant Display Count: Shows the number of applicant records currently displayed

  • Page Sorter: Select Previous, Next, or an individual page number to navigate between pages of applicants
