Creating/Editing Your Program Profile

Create and customize your program's profile within Thalamus.


1. Access the Program Profile

Note: This profile is only visible to applicants after you've invited them to interview.

The Program Director, Program Coordinator, and Program Administrator roles can edit the Program Profile sections; all other roles have view-only access.

  1. Upon login, you begin on the Program Profile page.

    • To return here at any time, select the Program tab in the upper menu bar. You can jump to a specific section of the page at any time by clicking its item in the left-hand menu.

  2. Start with Program Initial Parameters. Some of this information has been pre-populated from your ACGME profile.

  3. To add or edit information, click Edit. The fields become editable, letting you customize your profile.

  4. Program Track Participation is optional. It appears on your Program Profile only if at least one track has Profile Preview enabled. Here you can enter any tracks your program offers.

Note: After the Program Profile information has been entered, you can preview what an applicant will see by selecting the Preview Profile button on the upper right-hand corner of the page.


2. Scheduling Groups

Scheduling Groups let you sort candidates into categories, which programs can use to set scheduling preferences. For example, you can assign an applicant to a Student Rotator group and invite them to schedule for one specific event date.

Scheduling Groups act as permissions within Thalamus: they control which interview spots an applicant can sign up for. Applicants can't see which group or groups they are assigned to, and they can only access calendar events that include at least one position for a group they belong to.

Note: You must create at least one scheduling group before you can create calendar events, and each applicant must be assigned to at least one group before you invite them. Once an applicant has scheduled for an event, their scheduling groups can no longer be modified.


To edit Scheduling Groups:

  1. Select Edit in the Scheduling Groups section.

  2. Select Add New Group to add a group. A new row appears.

  3. Select the red "X" at the right of a group's row to delete it.

  4. Select Save to keep your changes, or Cancel to discard them.

Important: A scheduling group cannot be deleted if it is currently assigned to an applicant in the current season.


3. Program Images

  1. Select Edit in the Program Images section.

  2. Select Browse under Program Logo or Program Background to choose an image file from your device.

  3. Select Remove to remove an image without replacing it.

  4. Select Save to keep your changes, or Cancel to discard them.

Note: The recommended size for the Program Background image is 1000 × 214 pixels (width × height).


4. Program Leadership

The Program Leadership section isn't connected to the Administration page or to any user accounts. How individuals are listed here has no effect on their user accounts or security roles.

Use this section to list Program Directors, Department Chairs, Associate Program Directors, Chief Residents, and Program Coordinators. This information is visible to any applicant you've invited to interview.

  1. Select Edit in the Program Leadership section.

  2. Select the "+" next to a member type to add a new member.

  3. Enter the member's name.

  4. Select the teal circle next to the name to add a photo.

  5. Select the blue arrow next to a name to reorder the list.

  6. Select the red "X" next to a name to remove that person.

  7. Change the number in the box next to a member type to reorder how that role appears.

  8. Select Save to keep your changes, or Cancel to discard them.


5. About Program

  1. Select Edit in the About Program section.

  2. Enter a description of your program.

  3. Use the formatting toolbar to format your text.

Programs can also embed a video on the main Program Profile page. Upload your video to YouTube or Vimeo, then paste the link into the Video Link field.

To add documents, select Add Attachments. Confirm that your document appears as selected (highlighted in teal) in the list, then click Select to add it to the profile.


6. Social Links

Thalamus supports links to five social media platforms: Facebook, Twitter, Instagram, LinkedIn, and YouTube. You can add as many as you'd like.

  1. Select the Social Links section from the Program page.

  2. Select Edit.

  3. Paste the URL of the profile you want to connect into the corresponding field.

  4. Select Save to keep your changes, or Cancel to discard them.

Note: Once a link is saved, its icon will only be visible in Preview Profile, not on the Program tab itself.

Reviewing your icons and links in the Program Profile view

To review your social links:

  1. Select Preview Program in the upper right-hand corner of the Program tab.

  2. Your social media icons appear under the program name.


7. Program Year Salaries

To enter Program Year Salaries:

  1. Select Edit in the Program Year Salaries section.

  2. Enter salaries for PGY1 through PGY10 as whole numbers.

  3. Select Save to keep your changes, or Cancel to discard them.

Note: Thalamus formats salaries automatically as you enter them.


8. Contact & Locations

Select Edit in the Contact & Locations section to enter your program's contact information.

Update the Home Airport field and choose from the list of airports provided. This activates travel coordination features for applicants. If multiple airports serve your program, select the closest or most preferred one.

Note: The Home Airport field is a required field.
