Thrive syncs with Google Calendar, enabling you to schedule meetings directly from Thrive, utilize your preferred video conferencing platform, and have meetings automatically logged to your contacts.
Connecting Your Calendar
To begin, you'll need to connect your Google Calendar account to Thrive:
Navigate to your account settings within Thrive by clicking on the person icon located at the top right of your screen
Click on "Integrations" from the drop-down menu
Follow the prompts to authorize Thrive to connect with your Google account (Note: You will need to allow Nylas all permissions)
Once connected, select which specific Calendar you wish to sync with Thrive events. This allows you to dedicate a calendar solely for Thrive-related events or use your primary calendar.
Creating and Syncing Events in Thrive
You can create events in Thrive from several locations, which are pre-populated with different information accordingly:
From a Candidate's Side Panel: The event will automatically associate with that candidate and the relevant project
From a Project's Side Panel: The event will automatically associate with that project
From the Quick Create Button: No details are pre-filled, giving you full control over project and candidate selection
When creating an event:
Select the Event Type: Choose from Debrief, Meeting, Recruiter Interview, or Hiring Team Interview
Add Participants: You can add other internal team members or external candidates by typing in their name and choosing the right contact from the drop-down menu
Note: If an external contact you would like to invite is not yet in the system, we recommend adding them ahead of scheduling so your event activity is tracked. While you can invite internal team members who are not Thrive users without creating them as contacts first, adding them as contacts ahead of scheduling allows you to retain valuable activity and connection data.
Toggle the "Sync to my calendar" to send this event to your pre-selected Google calendar
Important Note: Double check the Send Invitation to Candidate toggle before scheduling–if this is toggled on, an invitation will be sent to the candidate. Be mindful of this flow to ensure you only send invites to candidates when intended.
For internal calls, you want to ensure this is toggled off and the candidate is associated with the call for tracking.
Add Video Conference Link
If you are integrated with Google, the default video conferencing option is Google Meet
For Zoom and other platforms, you will need to manually paste the meeting link into the Location field of the event form within Thrive
Viewing Events in Thrive
Thrive provides a comprehensive overview of your events on the Hub, the first page you land on when you log in. Locate the Events widget to see all synced events, including personal ones not associated with a Thrive record (referred to as "private events").
Utilize the "Hide private events" option to focus solely on events linked to Thrive records.
You can also see events on a person's profile by navigating to the Events Tab.
When accessing your own user profile (which currently functions as a "people profile" in Thrive), the Events tab will only display events that are linked to Thrive records.
Viewing Events in Your Calendar
Events scheduled in Thrive will appear on your calendar with the following details:
Event Title
Date
Time
Attendees you've added (this can include internal team members or external people if you’ve toggled “Send Invitation to Candidate” On)
Your video conference link, if you chose to add one to the location field
How are Events Sorted in Thrive?
Events are categorized into "Pending," "Upcoming," and "Completed" sections and are sorted chronologically or reverse-chronologically based on their date.
Upcoming Events display with the event closest to today at the top, then progressing forward in time
Completed Events display with the most recent past event at the top, then progressing backward in time
Pending Events have a status indicating they are awaiting confirmation (e.g., "Waiting on Client"). Once a time is assigned, they move to "Upcoming” if the date is in the future.
Event Statuses
Users must select an Event Status before they can send a calendar invite from Thrive. These are not dynamic, meaning they do not automatically update. Therefore, we recommend using 'Confirmed' as the default value when a date and time are set. If not, choose any of the other statuses and set the date and time for when you want to be reminded to circle back to scheduling.
Status | Definition |
Scheduling in Progress | The process of finding a mutually convenient time for the event is currently underway. You have likely reached out to the necessary parties (candidate, search team members, client contacts) and are awaiting their availability or working through calendar coordination. |
Waiting on Search Team | Pending input or action from one or more members of your internal search team. This could involve waiting for their availability, their approval of a proposed time, or their confirmation to participate in the event. |
Waiting on Candidate | Pending a response or action from the candidate. This could involve waiting for their availability, their confirmation of a proposed time, or their response to a scheduling request. |
Waiting on Client | Pending input or action from the client side. This could involve waiting for their availability, their approval of a proposed time, or their confirmation to participate in the event. |
Canceled by Candidate | Indicates that the candidate has informed you they are no longer able to attend the scheduled event or wish to withdraw from the process at this stage. |
Canceled by Client | Indicates that the client is no longer able to attend the scheduled event. You will likely need to create a new invite with a “Rescheduling” status or “Waiting on Client”. |
Rescheduling | Indicates that a previously scheduled event needs to be moved to a different date or time. This could be due to unforeseen circumstances on the part of the candidate, the search team, or the client. You are actively working to find a new mutually convenient time. |
Confirmed | Indicates that the event has been successfully scheduled, and all necessary participants have confirmed their attendance. Calendar invites have been sent to all parties involved. |
Note: The calendar integration (Google or Microsoft) is configured at the organizational level by your Admin. Users will only see the option to connect to the service their organization uses. For example, you cannot sync your personal Google calendar with Thrive if your organization utilizes Outlook.
