Merging Duplicate Records in Thrive

Understand which records can be merged, what the Merge Records permission allows, and who has access.

If you need two company or project records consolidated, contact your Thrive administrator or Thrive Support.


The Merge Records permission

Merge Records is an admin-controlled permission managed in Admin Portal > Roles and Permissions. It is separate from Create, Edit, View, and Delete — having edit or delete access to People does not grant merge access.


How to merge two people records

  1. Go to the People index.

  2. Select exactly two records. The Merge Profiles action only appears when two are selected.

  3. Click Merge Profiles in the bulk actions bar.

  4. Review the profile Thrive recommends keeping, or choose the other.

  5. Review conflicting fields. Where the two records disagree, choose which value survives.

  6. Confirm the merge.

What transfers to the surviving record

All compatible data is combined automatically:

  • Contact information

  • Candidacies

  • Notes

  • Outreaches

  • Scorecards

  • Events

  • Documents

  • Off-limits history

Off-Limits statuses recalculate automatically after the merge. The duplicate record is permanently removed.

Fields that can't be resolved automatically are surfaced as conflicts for you to decide before confirming.


If Merge Profiles is greyed out or missing

This means your role doesn't have the Merge Records permission enabled. You have two options:

  • Ask your account admin to enable Merge Records for your role

  • Ask your account admin to perform the merge on your behalf


For admins: enabling Merge Records

  1. Go to Admin Portal > Roles and Permissions.

  2. Select the role you want to update, or create a custom role.

  3. Enable Merge Records.

  4. Save.

Because merging is permanent and combines candidate history, we recommend granting this permission deliberately rather than by default — treat it with the same caution as delete permissions.


Finding duplicates to merge

Thrive flags likely duplicates automatically with a duplicate indicator icon next to a person's name across the People index, person side panel and profile, candidate cards, company employee tables, and project sourcing lists. The detection job runs once per day.

Matching confidence is based on: LinkedIn URL (highest), email, overlapping employment history, phone number, other social URLs, name, and location (lowest).
