What are Sessions and how do they work?

What is a Session?

A Session is a type of activity in Growth platform where learners need to attend one or more events (i.e. training or webinar) in order to complete the activity.

As an admin you can create Sessions in the content builder, and you can add Sessions to journeys and widgets just like any other activity.

Similarly, learners can open a Session like any other activity, and add it to their to do list.

What are event series?

Each Session contains event series, which in turn consist of one or multiple events. Events are trainings or webinars with a date, time and location and/or meeting link. Learners register for one of the event series and need to attend all the events in the series to complete the Session activity.

Example:

Session:

  • "Leadership training 2022"

Event series:

  • Training A for store managers in May and June 2022 (2 events)

  • Training B for store managers in June and July 2022 (2 events)

  • Training C for regional managers from June to August 2022 (3 events)

  • Training D for regional managers from August to October 2022 (3 events)

  • Etc...

A store manager may have access only to training A and B. He/she then may choose to register for training B and then needs to attend all the events in the series in order to complete the Session activity.

Events:

In the above example, Training B chosen by the store manager consists of 2 events:

  • Communication training on June 15, 2022 (offline)

  • Feedback training on July 26, 2022 (online)


How to set up Sessions for your platform

In order for Sessions to work on your platform, you first need to enable the Sessions feature. You can click on 'More' in the navigation menu and check if 'Sessions' is shown to see if the feature is enabled.

If not, please ask your TinQwise contact person to enable it for you.

Create Sessions in the content builder

For Sessions to appear in your platform, you first need to create them in the content builder and push them to the platform You can then configure them like any other activity, e.g. add them to a journey or widget, grant Upskill badges based on completion of the Session, etc.


Set up groups for Sessions

There are two groups that are relevant for Sessions:

  • 'Attendee' groups. These are learners who can register for and attend the event series.

  • 'Trainer' groups. These are users with permissions to create and manage event series.

Unlock Sessions for attendees and trainers.

For large organisations there can be an infinite amount of Sessions meant for different regions/offices/departments, etc. Therefore you don't want all Sessions to appear for all learners and all trainers.

Make sure to set up automations for attendees and trainers alike. This way trainers will only be able to create event series for specific Sessions, and learners will only be able to register for the Sessions made available to them.


Session visibility vs. event series visibility

If a Session activity is visible for a certain group, this is because of automation configuration in Control. It does not mean that all the event series in that Session are also visible for everyone who sees the Session. The visibility of event series depends on the selected target groups in the event series settings.

This is illustrated in the below diagram: a Session called 'Leadership training' has been unlocked for the group 'store managers' and 'regional managers', which means that all store managers and regional managers can see this Sessions activity.

The 'Store managers' group however, should only see event series meant for store managers, and the 'Regional managers' should only see the series meant for regional managers. Learners from the two different groups will attend different event series but complete the same activity.

This way you only need to create one Session activity about a certain topic, assign it to one or more high level groups, and let trainers create and allocate the event series to the different target groups.

You have created the Session activities and correctly set up the permissions and automations for your groups. Trainers and learners can now start using the feature!

How to create Session events

As a trainer you can create event series for Sessions that are made available to you. For each series a trainer can specify target groups (you can only select target groups made available to you through permissions). Learners can then register for the event series if they are part of one of the target groups.

How to confirm attendance

After an event has taken place, you might have to submit the attendance list as the host of the event. This is a very important step for any host, because learners are not able to complete the Session activity without it.

How to view feedback on sessions

As a trainer you can view learner feedback on different event series, collected at Sessions level. You can use this feedback to improve the format of your event series.

Once Sessions have been made and event series created for your group, you can open Session activities, start registering for event series and attend events as a learner.

What if a learner cannot register for an event?

By default events are open for registration until the start time of the the first event in a series (at the latest), unless you indicate otherwise in creating the event.

If someone wants to register after the registration period is closed, admins and trainers can register learners to event series.

  • Admins: Navigate to Control > Content > Sessions and select the session. Click on the tab 'Event series', select the event you want add learners to and you can add a learner there.

  • Trainers: Navigate to the event series and click on 'Add attendees' button. Select the learner to register.
