Set up Notion Workflows

With Notion Workflows, you can automatically:

  • create a new Notion page for each meeting

  • add meeting notes to an existing Notion page

  • add a new item to a Notion database

You can also choose which meetings should trigger the workflow by adding filters, then test everything before turning it on.

Before you start

Make sure:

  • your Notion account is connected in tl;dv

  • you have access to the Notion page or database you want to use

  • you have at least one recent recording available to use during testing

What you can automate

Right now, Notion Workflows support one trigger:

  • When a recording is ready

From there, you can choose one of these actions:

  • Create a page

    • Create a new page in Notion with your meeting content.

  • Add content to a page

    • Append meeting content to an existing Notion page.

  • Add item to a database

    • Create a new row in a Notion database and map meeting data to database fields.

How to create a Notion Workflow

1. Open the Notion integration

In tl;dv, go to Integrations and select Notion.

2. Choose who the workflow is for

Select whether you want to create:

A personal workflow


This runs only for your own meetings.

A team workflow


This runs for your team’s meetings based on the rules you set.

3. Choose a workflow template

Pick the workflow you want to use based on what you’d like tl;dv to do in Notion.

For example, you can choose to:

  • create a Notion page when a recording is ready

  • add content to an existing page

  • add a database item for each meeting

4. Set up the trigger

In the When step, choose the trigger and add any filters you want.

You can leave the workflow broad, or narrow it down so it only runs for specific meetings.

Examples of filters include:

  • only external meetings

  • only meetings with a certain word in the title

  • only meetings with specific participants

5. Set up the Notion action

In the Then step, choose where the data should go in Notion.

Depending on the workflow type, you’ll either:

  • select a parent page for new pages

  • choose an existing page to append content to

  • choose a database and map the fields you want to fill

You can use meeting data variables in your setup, such as:

  • meeting title

  • AI notes

  • transcript

  • participants

  • meeting date

  • meeting URL

  • recording duration

6. Test the workflow

Before a workflow can be activated, it must be tested successfully.

Choose a recent meeting, run the test, and check that the content appears correctly in Notion.

This is the best way to confirm that:

  • the right meetings will trigger the workflow

  • the correct Notion destination is selected

  • the content format looks the way you want

7. Activate the workflow

Once the test passes, activate the workflow.

From then on, tl;dv will automatically send matching meeting data to Notion.


Example setup

Here’s a common example:

You want every external sales call to be added to a Notion database.

You would:

  1. Go to IntegrationsNotion

  2. Choose When a recording is ready

  3. Select Add item to a database

  4. Add filters like “external meetings” or “title contains Sales”

  5. Select your Notion database

  6. Map fields like title, participants, notes, and date

  7. Run a test with a recent meeting

  8. Activate the workflow


Important things to know

A workflow must be tested before it can be activated

You won’t be able to turn a workflow on until the test step succeeds.

Editing an active workflow pauses it

If you make changes to an active workflow, you’ll need to test it again before reactivating it.

You may create duplicates if you use both personal and team workflows

If a user has both a personal workflow and a team workflow set up for Notion, both workflows can run for the same meeting.

Team workflows do not run for the admin who created them

If you set up a team workflow as an admin, it will apply to your team members, but not to your own meetings. You’ll need a separate personal workflow for yourself.


Troubleshooting

My workflow won’t activate

Make sure you’ve completed the test step successfully. Workflows can only be activated after a successful test.

My content isn’t appearing in Notion

Check that:

  • the correct Notion account is connected

  • you selected the right page or database

  • you have permission to edit that page or database in Notion

  • the test completed successfully

My workflow stopped running after I changed it

This is expected. Editing a workflow pauses it until it’s tested again and reactivated.

I’m seeing duplicate entries in Notion

This can happen if both a personal workflow and a team workflow are running for the same meeting.
