Tax Management Overview
Many of the items on this page are maintained by your company in the Toast Payroll Tax Center. We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Complete any available tasks here, including Form 8655, missing Social Security numbers, and more.
Taxes and Forms Toast Payroll Supports/Remits in Vermont
Payroll tax liability largely depends on where an employee is working and where an employee lives. More information on assigning a work tax location within the Toast Payroll system can be found in Toast Payroll: View and Update Work Tax Locations.
State Income Tax (SIT)

Child care contributions will be reported on combined Form WHT-436 in section III.
Employers will use Form HC-1 to calculate Employer Health Care Contributions.
Every quarter, employers should provide Toast Payroll with the number of uncovered full-time employees (FTEs) and the total healthcare contribution.
Toast Payroll will enter the necessary information if supplied within three days of quarter-end.
If supplied, it will be reported on the combined Form WHT-436 in section IV.
If no information is provided, Toast Payroll will file zero in this section.
Use the Per Pay Period Employee Payroll Audit Report to track quarterly hours worked. Select all payrolls for the quarter and locate the gross hours column.

Where to Find Copies of Tax Filings Processed in Toast Payroll
Quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. These reports are typically available the third full week of the month following each quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.
Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll & Team Management with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.
Register for Your ID - Withholding and Unemployment Taxes
Registration with the state sets up your tax account, identified by an Employer Identification Number (EIN). This number enables Toast Payroll to file electronically on your behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf which may result in financial penalties for your company.

How to Register - State Withholding
Vermont income tax withholding registration and unemployment tax registration are done on separate websites. Follow both sets of instructions below to get set up with the respective tax agencies. Both account IDs are needed for payroll purposes.
Register for an income withholding tax account on the myVTax website.
Select the Sign Up link from the box in the upper-right corner.
You will need the following information in order to complete your registration:
Taxpayer ID (e.g. FEIN, SSN)
Taxpayer name
Taxpayer mailing and location address
Account name(s)
Account mailing and location address(es)
Account start date
Location information (Sales & Use and Meals & Rooms only)
Names, addresses, and identification numbers of your business principals
Customers typically receive a Vermont withholding account number 5-7 business days after successful online registration. This is frequently referred to as a Vermont SIT EIN.
The withholding account number format, often labeled WHT#, is an 8-digit number in this format: WHT10###### or WHT11######

How to Register - State Unemployment
In Vermont, customers may not receive a state unemployment EIN until wages are paid. It is the customer's responsibility to not only apply for an EIN whenever applicable, but also to provide this information to Toast Payroll. The Toast Payroll system will calculate the unemployment tax liability and Toast Payroll will attempt to remit the funds before the EIN is received. Without an EIN, however, customers may face potential penalties, fees, fines, and interest from tax authorities. |
Register online for an unemployment tax account on Vermont’s Department of Labor website.
Select the Set up New Employer Unemployment Tax Account tile.
Complete the Department of Labor’s application.
The Vermont DOL will request you to complete a 2-step questionnaire to determine necessary registration.
Customers typically receive a Contribution Rate Notice or Quarterly Wage & Contribution Report (Form C-101). You should receive your Vermont SUTA account number online in approximately two weeks after registering online. This is frequently referred to as a Vermont SUTA EIN.

If rates are not provided, the Toast Payroll system will apply state-designated new employer rates to a customer's account settings.

Find Your ID and Rate - Already Registered
The Employer Identification Number (EIN) identifies a tax account to the state and enables Toast Payroll to file returns electronically on a company's behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf which may result in financial penalties for your company.

Unemployment Tax
If the company is already registered for a Vermont SUTA account, unemployment account ID numbers and tax rates can typically be found by:

A Vermont account number is typically in a 7-digit format: #######. Add your employer identification number and any rate information into Toast Payroll by navigating to Settings > Payroll > Tax Accounts.
Unemployment Tax Rate
An unemployment withholding tax rate is determined by the state and can change each year based on a number of factors. Visit the Vermont Department of Labor's website for more information on the calculation of a Vermont unemployment withholding tax rate. Vermont usually sets new tax rates each year starting on July 1.
Update any information regarding your Vermont unemployment tax rate to Toast Payroll by navigating to Settings > Payroll > Tax Accounts.
Link Toast as Your Third-Party Administrator
Linking Toast as your third-party administrator (TPA) allows Toast to electronically file and manage taxes on your behalf. Failure to complete the linking process may limit Toast Payroll's ability to manage tax payments and filings on your behalf, which may result in financial penalties for your company.
Log into the myVtax website.
Navigate to the Manage My Profile page.
Select the I Want To tab and choose Grant Accountant or Third Party Access.
Input the following information:
Username: Stratex
Name: Toast Tax
Select Yes for the question: Do you wish to allow your accountant or other third party to access your account with logins other than the one listed above?
Define access to your accounts: Withholding Tax.
Select Next.
Identify the range of tax years you want the service provider to have access to.
In the Access Level field, select the View, File & Pay option.
Select the confirmation check box.
Select Submit.
