What should I do when Toast Tips Manager tip pools can’t be sent to Toast Payroll since I already posted the payroll?
Answer
If tips were not sent from the Tips Manager before payroll was finalized and submitted, they cannot be automatically added to that completed pay run. Submitted payrolls cannot be adjusted.
Here are three recommended options for paying out those missed tips. See the pros and cons of each option in Toast Payroll: Forgot an Employee, Hours, or Tips on Toast Payroll.
Add them to the next payroll: You can include the missed tips in your next regular payday. You can do this by either manually entering the amounts or by uploading the tips file during the payroll process.
Run a special payroll: Process a separate, off-cycle payroll just for the missed tips. Again, you can add them manually or upload the tips file. This option may come with a fee.
Pay out manually now: Use the Quick Calc tool to calculate the correct tax withholdings for each employee. For the final net amounts, you can then pay them in cash, cut a company check, or use a cash transfer app such as PayPal or Venmo.
Each of these options requires you to have tip amounts per employee from your Toast Tips Manager policy. To find this data, open Toast Web and navigate to Reports > Labor > Tip management. Set the appropriate date range and then, using the download arrow in the upper-right corner, download a CSV file showing employee tip totals for a selected date range. This file can be used for a custom import or simply as a reference point when manually adding the missed tips to payroll. Custom imports do require some set up from you and a Toast Payroll Care agent, so if you want to go this route, don't wait too long to configure it.
Note: This CSV file will show tips both before and after pooling, so use the columns titled after pooling reflect what each employee earned after the tip pooling policies were applied.
