About Cash Deposits
A cash deposit is the cash you remove from the restaurant to deposit at a bank or other financial institution. A cash deposit is the last cash management action of the day — after all checks are closed, shift reviews are complete, and all cash drawers are closed.
Use the Cash Deposits screen on the Toast POS to enter the actual cash amount of the deposit into the Toast platform. Cash deposit amounts appear in end-of-day reporting so restaurant administrators can verify the amount Toast recorded matches the amount your bank received.
The deposit is only the cash going to the bank. Do not include the starting balances of your cash drawers in the deposit amount — that cash stays in the drawers.

Cash Deposit vs. Other Deposit Types in Toast
The word "deposit" can mean several different things in Toast. Use this section to confirm you're in the right article.
Cash deposit (this article) — cash you remove from the restaurant and take to the bank. Recorded on the Cash Deposits screen on the Toast POS or from the Cash Drawer History report in Toast Web.
Bank deposit (credit card deposit) — funds Toast sends to your bank account after auto-capturing credit card payments. To find a specific batch or pending deposit, see Locate Pending Deposits. If a deposit is missing or delayed, see Get Help With Missing or Delayed Credit Card Deposits.
Catering or order deposit — a partial payment a guest leaves on a future order. Not covered here.
Direct deposit (payroll) — payroll funds Toast sends to employees. Handled in Toast Payroll, not on the Cash Deposits screen.
Enter, Edit, or Undo a Cash Deposit
You can enter cash deposits on the Toast POS or in Toast Web, and you can undo deposit entries in either place. Toast does not currently let you edit a prior-day deposit directly — to change a past deposit, undo it and then add a new one with the correct amount.
On the Toast POS, the Cash Deposits screen is available from the main menu under the Cash Management section. In Toast Web, the same actions are available from the Cash Drawer History report.
Note: If you use the new Cash Drawer experience on the Toast POS, the Create Deposit button lives on the Closed drawers tab in Cash Management > Cash Drawers. For the new-experience flow, see Use Cash Drawers.

Expected outcome: The deposit appears on the Cash Drawer History report for the affected date. The Expected Deposit, Actual Deposit, and any deposit overage or shortage update on the next refresh of the report.

The Cash Drawer History report is the source of truth for deposit-level detail. Compare its Expected Deposit row to your bank deposit slips to verify the amounts match.
Expected Deposit vs. Total Cash
The Sales Summary report shows two figures that look similar but are calculated differently:
Expected Deposit = Total cash payments in all cash drawers + cash collected during shift review + cash-ins − cash-outs − payouts − tips and gratuities claimed during shift review.
Total Cash = Total cash payments − adjustments (payouts, cash-ins, cash-outs, closeout overages or shortages) − all tips and gratuities.
A difference between the two numbers does not always mean something is wrong — cash tips claimed at shift review, cash-ins or cash-outs, voided cash payments, and unclosed shifts are the most common reasons the two figures don't match. Z Report Deposit Summary
The Z Report can include a Deposit Summary section that prints the total expected deposit, actual deposit, and any overage or shortage. To enable it:
In Toast Web, navigate to Employees > POS report configurations > Manager end of day report.
On the Z Report page, use the Show column checkbox to enable Deposit Summary.
Select Publish all changes at the bottom of the page.
Expected outcome: The Deposit Summary section appears the next time the Z Report is generated on the Toast POS.

Frequently Asked Questions
Why doesn't my expected deposit match my total cash?
Expected Deposit and Total Cash can differ even when nothing is wrong. Expected Deposit is calculated from cash payments plus cash collected at shift review, minus payouts, cash-outs, and cash tips claimed at shift review. Total Cash is calculated from cash payments minus all adjustments and all tips and gratuities. Cash tips claimed at shift review, cash-ins or cash-outs, voided cash payments, archived printers or cash drawers, and unclosed shifts are the most common reasons the two figures don't match. How do I change a cash deposit from a previous date?
To change a cash deposit from a previous date, undo the deposit and then add a new one with the correct amount — Toast does not currently let you edit a prior-day deposit directly. What permission do I need to add or edit a cash deposit?

Can I view cash deposits for a custom date range?
To view cash deposits for a custom date range, use the Cash Drawer History report at Toast Web > Reports > Cash and loss management > Cash Drawer History and apply a date filter. Why is my actual deposit higher than my expected deposit?
An actual deposit higher than your expected deposit shows up as a deposit overage in the Cash Drawer History report. Common causes include cash that was placed in the deposit envelope but not entered into Toast as cash collected at shift review, a voided cash payment that left the actual cash unchanged, or a starting balance miscount at close-out. To work through the overage, compare the Expected Deposit row, Actual Deposit row, and the Cash Entries for Cash Drawer section in the Cash Drawer History report.
