Importing and Refreshing Master Roster from GHIN (GHIN Customers Only)

For GHIN customers, importing and updating a master roster is very easy. In this article, we will discuss how you can do both.

Importing Initial Master Roster from GHIN:

Go to Customer Center > Master Roster > Import Master Roster from GHIN. Our system will then connect with GHIN and upload your members. When the process is finished, the master roster will be filled in with the following data from GHIN:

In addition to this information, other data stored in the GHIN Roster (e.g., Gender, Email, etc.) will also be imported.

(Note: In TM Club, all players imported from GHIN will be listed as members in the "Member or Guest" field on the Master Roster. In TPP, the master roster was a collection of all golfers ever registered in an event, both members and guests.)

Handicap Index Updates:

Once your master roster is imported from GHIN, you may want to have Handicap Indexes updated daily for the players in your master roster. Click Here for details on how to allow your master roster to update Handicap Indexes daily.

Additionally, there are serval ways to retrieve and update Handicap Indexes from GHIN in Events/Leagues:

  • Propagating Updates from the Master Roster to Events/Leagues

  • Manually Updating Handicap Indexes within specific Events/Leagues

  • Automatically Updating Handicap Indexes within specific Events/Leagues

Refreshing Master Roster from GHIN:

You will likely have changes in your GHIN roster throughout the year (e.g., new members, inactive members, existing member information updates, etc.). Because of this, you will need to refresh the Master Roster from time to time. To do this, go to Customer Center > Master Roster > Refresh Master Roster from GHIN (as shown below).

Note: If you have added a player to your master roster, who is not part of your GHIN Roster, that individual will not update when using the "Refresh Master Roster from GHIN" option. Further, that player will be set to inactive GHIN Membership since they are not part of your GHIN Roster. However, these players will be updated during the scheduled update .

Syncing your Master Roster with a Membership Source:

If you already have a master roster uploaded and maintained through another source, for example, Jonas, Clubessential, or MembersFirst. AND you click on "Refresh Master Roster from GHIN," the data will be merged from your current TM Club Master Roster and the GHIN Master roster.

If you do not wish to merge all the data from GHIN and only update the Handicap Index and empty fields, you can disable the full sync. To limit the sync, in the customer center, go to Customer Setting > Integrations and check the box for "When refreshing the master roster from GHIN, update only the Handicap Index and any empty member fields; do not overwrite existing personal information in the roster." Further, there sometimes may be conflicts during this process where a name does not match up with a GHIN number or a GHIN number from the GHIN database does not match the GHIN number in the current master roster. If this does happen, you will be asked to resolve all the conflicts. To resolve the conflict, match the players using the dropdown on the right (as shown below).

Important Note: When refreshing your master roster from GHIN, any custom field that was previously populated from the GHIN roster will be updated with "Refresh Master Roster from GHIN." Therefore, we advise that any custom fields populated from your GHIN Roster be updated in the GHIN Roster, then refresh the Master Roster to pull that updated information.
