How to cancel an order

Cancellation Logic in TOPS

General rule: Orders (SO/MO/TO) can be cancelled unless they are in an end-state (Finished, Completed,…), if they are already cancelled or if the order is in a locked state (someone else is editing the order) or status (eg Quote Sent). How to cancel? When an order no longer needs to be collected/delivered, you can cancel the order by right-clicking the order and selecting Cancel Order in the order flow section.

You can also cancel multiple orders at once by multi-selecting orders and right-clicking the selected orders.

Canceling a Material order can also be done on the Sales/Transport Order form.

Deletion: If an order has not yet been activated ( draft status ), then you can cancel it or delete the order from the grid. If you don't want users to be able to delete orders, you can deactivate this option in their Control tower role ( Module Rights section ). There is no way to recover deleted orders.

Cancellation statuses: There are 3 different statuses of the order (SO/MO/TO) depending on when the order was cancelled:

  1. “Cancelled Before Activation”: If the order was not yet activated (orange statuses).

  2. “Cancelled Before Collection”: If cancelled after activation (green status) but before collection (eg Ready for Pickup).

  3. “Cancelled In Transit”: If cancelled after activation (green status) and after it has been collected (eg In Transit).

  4. “Cancelled: Order Merged”: Only for Transport Orders. This is the status of all TOs that were not the target order for the Merge action.

Cancelled orders can be recognized by red milestones and status:

Impact on linked orders:

  1. If you cancel a Sales Order, this will also cancel its Material orders.

  2. If you cancel a Material Order, and there are actuals on the Transport order, they will not be removed from the Transport order or the Sales order.

    1. If the linked Transport Order has only 1 Material order then the Transport Order will be removed (if Transport order is unplanned) or canceled (if Transport order was active).

    2. If the linked Transport Order has other non-cancelled Material Orders, then the Transport Order will not be canceled.

  3. If you cancel a Transport Order, ****it will not cancel the Material Orders currently on the TO. It only cancels the Transport Order while the Material orders become available again to be reassigned to a new Transport Order.

If a Material order is cancelled on a Sales/Transport order, then all cancelled stops will be removed from the order.

The Material Order will stay linked to the Transport order in a case of follow up on these ones, like for example following use case:

  1. Supplier creates MO in CUP for Ocean Booking. At this point only the container size is known.

  2. Supplier can upload documents via CUP

  3. TO is created and processed

  4. On departure, it is confirmed what was actually shipped > is created as a new MO by the customer via integration and pushed to the TO.

  5. Old MO is canceled, but all parties lose access to the attachments when the MO is removed from the TO.

Costs and billing flow for Cancelled orders

Canceled orders can be set to Ready for Reporting and Ready for Billing to make sure they run through the necessary billing process flow.
