Automating a Stripe Invoice

Note: In order to be able to send invoices through Stripe, you must first follow the instructions here: Invoicing Overview

An automated invoice can be created in three places, the Trip Sidebar, the Task Menu and the contact's profile.

For the example below, we're creating an automated invoice in the Tasks and Automation tab, the first photo will show the Add button as it appears in the Tasks and Automations tab in the Trip Sidebar, but the Add button also appears in a Contact Profile!

1. Click Add

Click on Add in the top right corner of the Tasks area.


2. Click Automation

Once you've clicked on Add, some options will appear. Click on Automation.


3. Select Invoice under Automation Type

In the Automation Menu, click on Form.


4. Add Invoice Information

5. Set Date/Time

Select the desired date and time for the invoice to be sent to your client.

You can either have a fixed date, as shown below:

Or you can have an automatic time, sent a certain number of days before or after the trip end date or start date.

Note: Automations will not send the form if a date and time are not set.

6. Select the recipients of the Invoice

Under the Assigned To section, you'll be able to specify if the invoice is being sent to everyone on the trip, or only specific people.

If the form is only being sent to specific people, just select that option and type in their name!

7. Click Done

Once you've added all the desired information, click on Done in the top right corner of the Automation Menu.

Additional things to note:

  • For a planning fee invoice to be sent to everyone on a trip, you will need to add each contact individually.

  • A separate invoice is sent to each user you tag, they do not all share an invoice. This is a Stripe limitation.

  • Scheduled invoices will not show up in the invoices page until they are sent

  • Invoice Due Date is calculated as a days offset from when the invoice is sent, the calculated date based on schedule time is shown for convenience. If you select Send Now, the Invoice Due Date will be different from what was shown in the calculation (however the calculated date does update to show the new proper Invoice Due Date in the task editor)
