Lock/unlock schedules

You will need to lock the finalised schedules to prevent further edits

Once schedules are finalised, you will need to lock them to prevent further changes. Schedules can be locked individually or all at once within a single location.


Lock an individual schedule

  1. Go to Scheduling.

  2. Select the week, the location, and the rota that you want to view.

  3. Head to the finalised schedule and click on the cog icon, and then select Lock to + a date.

  4. A confirmation message will appear, and it will vary depending on the condition.

    • The following rotas do not require approval and will be locked immediately:

      The schedule will be locked immediately, without requiring approval.

    • The following rotas require approval and lock requests will be sent out:

      The schedule will be locked as soon as it is approved, and the approver will be notified of the lock request.

    • Rota(s) cannot be locked as the following rota rules have failed: The schedule cannot be locked because the locking rules have failed.

  5. Once locked, you will see a padlock icon appear in the top left-hand corner within the schedule.

  6. Click on the cog icon and select Unlock to enable editing the schedule.

⚠️If the rota for the following week is locked, you must unlock it first before you can unlock and edit the rota for the current week!


Lock all schedules for a single location

  1. Go to Scheduling.

  2. Select the week, the location, and the rota that you want to view.

  3. Open the Actions menu and select Lock to + a date.

  4. A confirmation message will appear, and it will vary depending on the condition.

  5. Once locked, you will see a lock icon appear in the top left-hand corner within every schedule on that single location.

  6. You can't unlock all the schedule at once, but you can click on the cog icon within a single schedule and select Unlock to enable the editing.
