Where to find the Employee Profile

Every employee has a profile. You can find this on the left hand navigation panel. It will say Employees under People. All your employees will be visible. Click the View button on the right hand side and this will lead you to all the Employee Tabs

Employee Tabs

1. Details - These are the personal details of the employee. These are all essential details such as Name, NI Number, Nationality and DOB, Contact Information and Emergency Contact Information.

πŸ’‘Some of these details have a red star next to them meaning that they are a required field and that an employee can't be added to the system without these fields being filled in.

2. Bank Details - Employee bank details are saved here

3. Employment - This contains all the employment details of the employee such as Start Date, Job Title, Salary, Contract Type and Annual Leave entitlement.

4. Employment History - Any changes to the employment of the employee will be recorded here, e.g. Job title, Contract Type, Hourly Rate or any salary changes.

5. Secondary Job Titles - Secondary job titles allow employees to be attached to rotas outside of the ones allowed against their main job title. Hourly rate overrides will be applied for any shifts assigned to the secondary job title.

6. Location - This is where the employee works and the rota that the employee belongs to will be attached to this Location. The employee can be attached to more than one Location.

7. Rotas - This is the Rota that the employee belongs to. An employee can be attached to more than one Rota.

8. Shifts - This is a break down of what shifts the employee has worked. You can filter by date range and hour type.

9. Leave - This is a breakdown of Annual Leave entitlement, Used annual leave, Remaining annual leave and what is upcoming.

10. Availability - Employees can input their weekly availability, either a half day or a full day.

11. Notes - Another way for keeping a record of the employee activity.

12. Portal Access - This is where you can resend an employee portal invite if it has not been accepted yet. You can also manage the individual employee portal permissions.

13. Financials - This gives you the option to exclude a specific employee from the Financials and the Payroll.

14. Documents - This where all the important employee documents are kept. You can filter by Categories. DocuSign can also be accessed in this tab.

15. Skills - This is where you can add any skills that an employee may have. You can also view all of the employees existing skills.

16. Sync - This tab should only be used by anyone integrating with Nxsys or syncing to Third party biometric clocking devices. When payroll sync is selected the employee details will be passed to the Nxsys system.

17. Calendar - This gives you an overview of the employees shifts, annual leave and sick. All will be shown in a different colour.

18. History - This records any changes made to the employee by the employer.

19. Tags - This is where you can view any existing Tags that an employee has. You can also Add new Tags in this tab.
