Step-by-Step Guide: How to build a document review calendar

This guide covers everything from uploading documents to building a calendar

This guide applies to

Logit system with the Repositories module and the Calendars module.

A calendar is used to manage upcoming events regarding locations, contractors, documents, or assets with dates provided.

1. Upload Documents

Upload documents

  1. Go to Repositories in the configure portal.

  2. Click View and go to any document type you want to store the files.

  3. Click Add Folder to create a folder.

  4. Go to the folder and click Add Document to upload a single file. If you want to upload multiple files, click Add Multiple Documents (up to 10 files at once). Please ensure each file is no larger than 50 MB.

Create document properties

There are two ways to add document properties: you can either add them directly or apply a template.

Option 1: Add document properties directly

To monitor the next review dates, we will need to include the last reviewed date, review frequency, and next review date. Other properties can be added to your needs.

  1. Select the document type which document properties are required and click Manage.

  2. Head over to the Properties section and select Add Section.

  3. Name the section.

  4. Click Add Property to add questions.

    • Select 'Date' in the Data Type and name the field 'Last Reviewed Date'.

    • Select 'Standard Buttons' in the Data Type, then add the options (e.g., Monthly, Quarterly, Annually) and name the field 'Frequency'. Next, click on 'User Defined Options - Standard Buttons' and input the corresponding values. For example, assign 'Monthly' a value of '1' and 'Quarterly' a value of '3', based on the number of months.

    • Select 'Calculated Date' in the Data Type and name the field 'Next Reviewed Date'. Then, set up the calculation settings.

Option 2: Apply a template

  1. Select the document type which document properties are required and click Manage.

  2. Head over to the Properties section and select Add Section.

  3. Give the section a name, select the suitable template, and click Create.

  4. The template is now applied to assigned documents.


3. Create a calendar

  1. Go to the Calendars section.

  2. Click Add Calendar.

  3. Give your calendar a name.

  4. Choose the owner (e.g. Organisation).

  5. Select the department (e.g. Admin & Management).

  6. Choose the desired completion level.

  7. Assign responsibilities - manager & observer.

  8. Hit Create.

  9. Head over to the Properties tab.

  10. Select Attach Property to attach the 'Next Review Date'.

  11. Select the document type property source.

  12. Choose the section and date property you wish to appear on your calendar.

  13. Hit Attach.

💡You can head over to the Progress States tab to add a progress state (e.g. awaiting approval).


4. Create a record

Create a form

  1. Go to the Form Library.

  2. Click on the Add Form button.

  3. Complete mandatory fields, including Name, Owner, and Department.

  4. Set form type to Document.

  5. Select the desired Document Type, Completion Timestamps, and Topics, and then click Create.

  6. Hover over the Questions tab and click Add Section.

  7. Name the section and select Document Type Properties.

  8. Click Link Property and pull through the document properties to monitor.

Turn the form into a record

  1. Open the 3-dot menu within the form, and select Record.

  2. Complete the settings, such as owner and department.

  3. Assign responsibilities and click Create.


5. Set up colour code

Set up time limits

  1. Go to Repositories in the configure portal.

  2. Select the document type that you wish to set up time limits and click Manage.

  3. Head over to the Properties section

  4. Edit the 'Next Review Date' question.

  5. Set limits for the next review date. The document review should appear in amber 15 days before the inspection date and in red when it is overdue, so we enter -15 and 0 accordingly. Then, click Save.

Once the time limits are set up, events will be displayed as followed:
