Creating and managing documents

Document repository are created on request from the Logit admin team. Once created the admin super user team can configure the Roles to allow team members to manage, upload to or view only each group type

Details

Change the name

Allow for comments and likes on the associated documents

Properties

Very similar to form question types, the properties allow you to define a set or requirements for each document associated in the repository, these can then be used to update the document directly of use within

  • Checks

  • Records

  • Calendars

  • Requests

This becomes very powerful when you want to allow team members to update versions or set time paramanters on the document for review

To add properties

  1. add section

  2. add name

  3. choose if there is a template pre built, example frequency for date population

  4. NB. Instructions are not required at this point

Add the questions required

This will now populate on all documents available in this repositiroy library


Creating folders

Once the repository is set to go its time to add in a range of folders to sub structure the documents

Click, add folder

Enter the name of the folder

Enter the Access Control restriction for this folder

Folders can be assigned to a range of options

EG.

  • Locations

  • Departments

  • User groups

  • Specfic users

  • Archived

When an access control is added it will be displayed on the folder or file


Adding and Document or Link

Click add document or add link to upload

Add name

Choose file

Choose is this is a public document or select the Access Control restriction required

Once uploaded the document will pull through properties if set and display the current version number.

The document can now be replaced if required by clicking edit, choosing replace file

Or

Attach the document property to a check or record to update directly from the monitor portal

Once updated, Logit will store the history of changes directly in the document


Publishing Documents

Any user set with access to the document repository library, will no have visibility to the documents directly from the 9 dot icon. If the document is set for a quick link within the form then this can now be added onto the required section on the form builder.


Did you know?

If you want to upload a ZIP file with muliple documents, contact the Logit admin team for a direct import to the folder of choice

you can create an access control called 'Archived' that allows you to archive documents away from user visibility whist keeping the original document in storage for future use.
