This article will guide you on how to retrieve the data collected from your scheduled fire safety checks and records. You can use the quick links to easily navigate to the specific report type.
The first step is to determine which type of report you need. Several report options are available, and the right choice will depend on the workflows you use for Fire Safety inspections.
In some cases, you may need to use a combination of scheduled checks and asset records to capture all the relevant information.
Option 1: Check Export
Check Export allows you to export a detailed list of questions and answers from a single check into an Excel spreadsheet.
Go to Check Export in the reporting portal.
Define the date range.
Select the status: all data or exemptions only.
Choose the required check and the location.
Click Download to export the data, where you can view events, answers, comments, and answers matrix in the spreadsheet.
Option 2: Check Performance
Check Performance provides an overview of check completion performance across locations, along with scores.
Go to Check Performance in the reporting portal.
Define the date range.
Apply the filters as required.
Click Run, and the relevant data will appear.
Click Download and select Zip of PDFs, which will allow you to download the PDFs of the completed checks in a compressed folder.
The Download PDF option allows you to export the grouping in a single file. This may take up to 10 minutes, depending on the volume of checks selected.
Option 3: Export single checks
A PDF file will be generated once a check is completed and closed, containing the questions and their corresponding answers.
Go to Checks in the monitor portal.
Head over to the closed section.
Select the check and click on the cog icon.
Select Download PDF, and then you will get a PDF file.
Option 4: Check Management
Check Management allows you to view completed checks across multiple locations.
Go to Check Management in the reporting portal.
Define the date range.
Apply the filters as required. Please select closed for full listing.
Click Run, and the relevant data will appear.
Click Download to export the data in the spreadsheet.
Option 5: Record Export
The Record Export report is a fantastic report that allows you to export all record questions, answers, and available comments for a specific record.
Go to Record Export in the reporting portal.
Select the desired time range, data type, and record you wish to view, then click Download to retrieve the report.

You can create a favourite report that groups the necessary reports for the fire safety inspection. This allows you to simply go to the reporting portal and download the report directly, without the need to select checks or records and run the reports each time.
