Understanding Settlement Status

Settlements in Truckbase go through different statuses as they're created, reviewed, and finalized. Understanding these statuses helps you manage your settlement workflow.

Settlements Builder

  • What it means: Trips that haven't been added to a settlement yet

  • Where to find: Settlements โ†’ Settlements Builder tab

  • What you can do: Generate settlements, review trips, select which trips to include

Draft Settlements

  • What it means: Settlement has been created and saved, but not yet finalized

  • Where to find: Settlements โ†’ Draft Settlements tab

  • What you can do:

  • Edit trip pay

  • Add/remove adjustments

  • Add/remove fuel deductions

  • Add/remove other expenses

  • Continue editing later

  • Mark as Paid when ready

Paid Settlements

  • What it means: Settlement has been finalized and marked as paid

  • Where to find: Settlements โ†’ Paid Settlements tab

  • What you can do:

  • View settlement details

  • Export to PDF

  • Send to driver via email

  • Export to CSV

  • Revert to draft if changes needed


Moving Between Statuses

Draft โ†’ Paid

When you're ready to finalize:

  1. Open the draft settlement

  2. Review all details
    โ€‹

  3. Click Mark as Paid
    โ€‹

  4. The settlement moves to the Paid tab

Paid โ†’ Draft (Reverting)

If you need to make changes to a paid settlement:

  1. Open the paid settlement
    โ€‹

  2. Click the three-dot menu (โ‹ฎ)
    โ€‹

  3. Select Mark as Draft
    โ€‹

  4. The settlement moves back to the Draft tab for editing


What Gets Locked When Marked as Paid

When you mark a settlement as paid:

  • Trips - Become locked and cannot be edited

  • Fuel transactions - Linked transactions are locked

  • Other expenses - Linked expenses are locked

  • Settlement snapshot - A snapshot is saved for historical records

This locking prevents accidental changes to data that has already been settled and ensures your records stay accurate.


Tips

  • Save drafts frequently so you don't lose your work

  • Review all details before marking as paid

  • Use the revert function if you need to make corrections after finalizing
