Managing Owner Operator Settlements

If you work with owner operators, Truckbase allows you to create and manage settlements specifically for them, including settlements that cover multiple drivers under the same owner operator.

Enabling Owner Operators

Before you can create owner operator settlements, ensure the Owner Operators feature is enabled for your account. Contact your administrator or Truckbase support if you don't see this option.


Creating an Owner Operator Settlement

Step 1: Navigate to Settlements

  1. Click Settlements from the side navigation menu

  1. Go to the Settlements Builder tab

Step 2: Filter by Owner Operator

  1. In the filter options, select Owner Operator from the dropdown

  1. Choose the specific owner operator you want to build a settlement for

  1. Select the date range for the settlement period

Step 3: Generate the Settlement

  1. Click Generate Settlements

  1. The system will display trips completed by drivers associated with that owner operator during the selected period

  1. Review the settlement details

Step 4: Review and Add Adjustments

  1. Click on the owner operator row to open the settlement detail

  1. Review base pay for each trip

  1. Add any bonuses, deductions, or reimbursements at the bottom of the page

  1. Click Save Draft to save your progress

Step 5: Mark as Paid

When ready to finalize, click Mark as Paid. The settlement will move to the Paid Settlements tab.

Sending Settlements to Owner Operators

  1. Open a saved owner operator settlement

  1. Click the three-dot menu (โ‹ฎ)

  1. Select Send to Owner Operator

  1. Enter or confirm the email address

  1. Click Send

The owner operator will receive the settlement PDF via email.
