Equipment Profile

The equipment profile feature helps safety managers manage and monitor equipment-specific information, and track expiring documents.

The Equipment Profile feature allows you to manage and monitor equipment-specific information, qualifications, and documents. This is an essential tool for safety managers to ensure that all equipment-related data is accurate and up-to-date.


Accessing the Equipment Profile

  1. Navigate to the Equipment Page

    • From the side navigation menu, click on Equipment

  2. Open the Equipment Profile

    • On the Equipment table, click on any equipment listed to open its profile

Profile Tab

The Profile tab contains essential information about your equipment, helping you manage both operational and safety-related data.

Sections within the Profile Tab

  1. General

    • Includes details like the unit number and whether the equipment is a truck or trailer

  2. Safety

    • Track important safety details such as model year, plate number, VIN number, and more

Docs & Expirations Tab

The Docs and Expirations tab is where you can manage all documents related to your equipment, track expiration dates, and add custom files.

Adding a New Custom File

  1. Add New Custom File

    • Click on "Add new custom file" button, and a modal will appear allowing you to enter a name and description for the custom file you want to create

  2. Save the Custom File

    • Once you’ve entered the details, click Save, and the new custom file will be added to the documents section

  3. Edit File Details

    • If you need to change the title or description of any file, simply click on the Edit button next to the document to make your changes

Note: If you create a custom file on a specific equipment’s profile, that file will only be saved to that particular equipment. If you want the same custom file on other equipment profiles, you will need to create it individually for each equipment.

Uploading Documents

  1. Select the Document Section

    • To upload a document, find the specific document where you want to upload an attachment

  2. Upload the Document

    • Click the Upload button next to the document section, and you can upload any relevant files

Expiration Dates

  1. Set Expiration Dates

    • Click into any predefined document to set an expiration date

  2. Expiration Warnings

    • Documents expiring within 30 days are marked with a yellow icon

    • Expired documents are marked with a red icon, alerting you that the document needs attention

  3. Using the Ignore Button

    • If a document is nearing its expiration (within 30 days) or has already expired, you have the option to click the Ignore button. This will clear out the expiration date, and the warning icon will be removed. Use this option if the expiration is no longer relevant or if the document does not need to be tracked further.
