We are excited to announce several new features and enhancements in Truckbase this week. These updates include significant improvements to driver and equipment profiles, the introduction of a dispatch helper, a brand-new availability feature to streamline your operations, and class tracking is now available for QuickBooks online users.
1. Driver and Equipment Profile Enhancements
Upload Documents & Create Custom Files (Video)
You can now upload documents directly to both the Driver and Equipment profiles.
Users can also delete any pre-populated documents that were set as default and are no longer needed.
You have the ability to edit the title or description of any document or attachment in the profile.
Additionally, you can now add new custom files to both driver and equipment profiles, offering more flexibility for managing your records.
2. Dispatch Helper - Beta (Video)
We’ve added a dispatch helper modal to help you catch potential issues when creating or editing orders. This new feature flags the following:
Duplicate Customer Order #: If the customer order # for a customer has been used before, the system will notify you to avoid duplication.
Date Warnings: If any date fields on the order are more than 30 days in the past or future, the system will alert you.
Document Expirations: When dispatching an order, if a selected driver or equipment has a document that is expired or expiring within 30 days, a warning will appear.
The dispatch helper is designed to flag these potential issues for your awareness, but it will not block you from proceeding in dispatching out a trip or creating an order.
We'll be adding more warning options to the dispatch helper in the coming weeks, so if you have any requests for helpful dispatch warnings please let us know!

3. Driver + Equipment Availability - Beta (Video)
We’re introducing a new Driver and Equipment Availability feature that provides visibility into the current status & locations of your drivers, trucks, and trailers.
How might this feature help me?
If you manage a trailer pool, the trailer availability list or map can help you keep track of where a trailer was most recently dropped.
If you create dispatch plans based on a driver's last location (e.g., long-haul OTR), then the driver map/list can help easily see when/where a driver is next available.
If you're trying to improve asset utilization, you can use availability lists to quickly reference which assets are available or dispatched.
Key Features:
Default View: By default, the view shows your trucks, but you can toggle between drivers, trucks, or trailers.
For each driver, truck, or trailer, you’ll see:
The current trip # they are working on
The last completed stop which is the most recent stop that was marked as "complete"
The next stop that is scheduled, if assigned
The final stop which is the most furthest out scheduled stop, and when/where the driver/truck/trailer will be available next
Availability Status:
Dispatched: Currently assigned to a trip
Available: No next stop is scheduled; available for the next trip
You can view this information in a table format or switch to a map view to see the location of the last completed stop for each driver, truck, or trailer.

4. Class Tracking for QuickBooks Online Users (Video)
For users integrated with QuickBooks Online who track classes, a new Class field will appear when creating or editing invoices.
This field will automatically populate with class options based on your settings in QuickBooks. No additional setup is required.
Note: Please note that this dropdown will only be visible if you have classes set up at the invoice level, not at the individual line item level on the invoice.
