1. Getting started with tuple NZ - Initial Setup

This is the first step in getting tuple setup for the first time. It is important to get your setup correct to save you time later.

Before you start: To ensure you configure your instance of tuple correctly, please follow the 'Getting started with tuple' articles in numerical order.  This article is step 1 of the setup process.  Each article will have a link to the next step or previous step to ensure you cover all the important essentials! 

 1. Add your Organisation Details

  1. Click on Settings

  2. Organisation Details on the Left Navigation Bar should already be selected.

  3. Select Action and then Edit 

  4. Enter your organisation’s details (see table on what to enter into each field)

  5. Click Save

2. Add your Location

  1. On the Left Navigation Bar click Locations

  2. Click View all

  3. Click Add new record

  4. Enter details (see table)

  5. When ready to complete select Insert

3. Add a Contract

We understand that in New Zealand there are no contracts that must be reported to any of the Government departments. However, in Tuple, you cannot create a Course Offer without linking it to a Contract.

The Contract that we suggest you link your Course Offers to is called: FFS – Other (OS) – Fee For Service

  1. Click on Settings > Contracts

  2. Click on the Actions Menu and click Add Contract

  3. Enter the following details and click Save Contract 

Enter Training Schedule / Booking ID

  1. On the Left Navigation Bar, Click Contracts

  2. Select the relevant Contract from the provided list

  3. Click the Action Menu paralleled to Training Schedules/Booking IDs, Select Add Schedule

  4. Under Add Training Schedule, Enter the following information then click Save (the table above provides more information): Booking ID / CourseSite ID Code Booking ID / CourseSite Description

  5. When finished, Click Save

4. Add Course (Qualifications)

Important Note: A Qualification is referred to as a Course in Tuple.

  1. On the Top Navigation Bar click Courses

  2. On the Left Navigation Bar click Add new

  3. Select to Manually create a new Course

  4. Click Next

  5. Complete the relevant fields for the type of course you are setting up

  6. Click Save

5. Add Units (Courses)

Important Note: Units are also known as ‘Courses’ in New Zealand. However, these are referred to as Units in Tuple.

Units contain information required for TEC reporting and sits underneath a Course. Important information such as the Version, EFTS and Credits are set up here.

IMPORTANT: Please ensure the Unit fields are completed correctly by using the Field Guidelines: New Zealand.

 1. Navigate to Tuple SMS > UnitsOn the Top Navigation Bar click Units
 2. Left Navigation Bar click Add new
 3. When the Unit page opens, choose the Course and enter all details
 4. Save

6. Add Staff

  1. On the Top Navigation Bar select Staff

  2. Click Search to find relevant staff

  3. or Add new

  4. Update details below accordingly

  5. Save

*if you do not indicate if a Staff member is a Trainer/Assessor etc you cannot allocate this role to them.

7. Set Up NSN REST Access

Tuple provides a Web Service in conjunction with the Ministry of Education (MoE) which allows you to retrieve and allocate the NZ National Student Numbers directly via Tuple.

All done?  Excellent!  You're now ready to move on to Step 2: Create course and unit offers.
