The View Products page provides an overview of the products that have been created in your account, allowing you to easily manage your goods. You can filter the view to refine which products are displayed, perform bulk actions to update those shown, and create transactions for products directly from the page.
For an overview of the products that exist in your account, from the main menu, go to Inventory > Products > View Products
At the top of the View Product page, there are three function buttons available:
Import: Opens the Import/Export page for products.
Export: Downloads the current view of the View Products page in either a PDF, CSV, or XLSX format.
Add Products: Opens the Add Products page, allowing you to create a new product from scratch.
Manage your view
By default, the View Products page lists all sellable, purchasable, and non-obsolete products in alphabetical order by Product Code.
Filter your products
Use the filter fields available at the top of the View Products page, described in the table below, to specify which products should be displayed, making it easier for you to review and update the products that need it.

Product | A free text field that will filter to display products that include the text in the product's code or description. |
Product Group | Use the drop-down menu to filter for products assigned to the parent Product Group. |
Product Brand | Use the drop-down menu to filter for products assigned to the Product Brand. |
Supplier | A free text field that will filter to display products by the code or name of the supplier selected as the product's default supplier. |
Supplier Product | A free text field that will filter to display products that match the Supplier Product Code, in the product's Purchase tab. |
Bin Location | A free text field to display products by the bin location in the default warehouse. Only available if Per Warehouse Controls are enabled. |
Barcode | A free text field to filter for products that include the text in their Base Unit's Barcode. |
Obsolete | Use the drop-down menu to display products based on whether they're obsolete (Yes), not obsolete (No), or either (All). |
Sellable | Use the drop-down menu to display products based on whether they're sellable (Yes), not sellable (No), or either (All). |
Purchasable | Use the drop-down menu to display products based on whether they're purchasable (Yes), not purchasable (No), or either (All). |
Customise the View Products layout
The details that are displayed per product in the View Products page are determined by the column headers that are included in the page's grid layout.
View Products column headers
The columns displayed in the View Products page provide an overview of the products that exist in your account. The columns that are displayed by default in your View Products page are described in the table below.

Action Cog | Use the tick boxes to select multiple products from the same page and hover over the Action Cog icon in the header to choose an action to apply to the selected products. |
Image | Displays the product's default image. Hover over the image for an enlarged view. |
Product Code | Displays the product's unique code for the product record. Click on the product's code to open the product's record. |
Product Description | Displays the product's description. Click on the product's description to open the product's record. |
Product Group | Displays the parent Product Group the product is assigned to. |
Base Pack | Displays the Pack Size of the product's base unit of measure. |
Allocated | Displays the product's total quantity allocated to open Sales Orders, Assemblies, or Warehouse Transfers, across all warehouses. |
On Hand | Displays the total Stock on Hand quantity across all warehouses for the product. |
Base Unit | Displays the base unit of measure for the product. |
Action | Displays an action cog icon that allows you to select one of the following actions for the product: edit, clone, adjust, quote, order, purchase, view transactions, obsolete, print a product label, or delete. |
View Products' Hidden Columns
There are additional columns you can display on the View Products page, which can be found in the Show Toolbar tab's Hidden Column. Drag and drop the column header from the Hidden Columns pop-up window into your grid's layout to populate the column's detail per product in your view. The default Hidden Columns available in the View Products page are:

📌Note: Only the headers already displayed in the layout or the Hidden Columns list can be displayed in the View Products page.
Manage custom layouts
Customize how the product details are displayed by adjusting the column widths, dragging and dropping columns into their preferred position, and clicking on the header to sort the products into ascending or descending order. You can also drag and drop column headers into the grey space above the other column headers to group products by that column's detail, in an expandable format.
After customizing your column layout, save it for future use:
Click on the Show Toolbar tab.
Select New.
Enter a unique name for the new layout.
Click Add.
The layout will now be saved to your user profile, only available to select from the Show Toolbar's Grid Layout drop-down menu.
Edits can be made to your custom grid layout at any time; just click Save in the Show Toolbar options after you've made the necessary adjustments. Similarly, custom grid layouts can be removed by clicking Delete in the Show Toolbar tab.
Default grid layouts
Initially, whenever you navigate to the View Products page, the default grid layout "None" will be displayed.
To make one of your own custom grid layouts the default view:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Default checkbox.
Click Save.
Share grid layouts
If you've created a grid layout that other users in your account would benefit from using, you can make it available to their user profiles too:
Click on the Show Toolbar tab.
Select the layout from the Grid Layout drop-down menu
Tick the Shared checkbox.
Click Save.
The layout will then be available to select from the Show Toolbar > Grid Layout menu when other users open the View Products page.
🤓Tip: Shared layouts cannot be a default for another user's profile, but they can save the shared layout as a new layout in their own profile, then set that as their default. Bear in mind that any edits you make to your shared layout will not apply to their saved default version.
Manage products from View Products
Update products and create transactions for them directly from the View Products page, using the bulk and individual action functions available.
Individual actions
Along each product's row in the View Products page, there's an action cog icon that displays a menu of actions, described in the table below, that you can apply to the product.
View Products' individual action | Description |
Edit | Opens the product's record, allowing you to update it. |
Clone | Allows you to create a new product, copying the existing product's details. |
Adjust | Opens the Add Stock Adjustment page, pre-populated with the product, allowing you to create a Stock Adjustment. |
Quote | Opens the Add Quote page, and once a customer is provided, the Quote pre-populates the product as a quote line. |
Order | Opens the Add Sales Order page, and once a customer is provided, the Sales Order pre-populates the product as an order line. |
Add Purchase | Opens the Add Purchase Order page, and once a supplier is provided, the Purchase Order pre-populates with the product as an order line. |
View Transactions | Opens the Transaction Enquiry, pre-filtered for the product. |
Obsolete | Makes the product obsolete, so that it is no longer available to use. To successfully make a product obsolete, the product must have zero stock on hand across all warehouses and cannot be allocated to any open transactions or Bill of Materials. |
Print Product Label | Opens the Product Label Print Confirmation window, where you can select which Doc Designer label template to print with, and the quantity to print. |
Delete | Removes the product from your account. A product can only be deleted if it has zero stock on hand, has not been included on an open, completed or deleted transaction. |
Bulk actions
To apply an action update to multiple products, use the checkboxes available under the action icon header to select the appropriate products, then hover over the action cog icon in the header to apply the action.
The table below further describes the bulk action options available.

Select All | Ticks the checkbox of every product in the current page view. |
Select None | Unticks the checkbox of every product in the current page view. |
Make Sellable | Updates all the selected products to be sellable. |
Make Non-Sellable | Updates all the selected products to be non-sellable. |
Obsolete | Makes the selected products obsolete, so that they are no longer available to use. To successfully make a product obsolete, the product must have zero stock on hand across all warehouses and cannot be allocated to any open transactions or Bill of Materials. |
Delete | Removes the selected products from your account. A product can only be deleted if it has zero stock on hand, has not been included on an open, completed or deleted transaction. |

To delete multiple unused products that have never had SOH or been included on a transaction:
Go to Inventory > Products > View Products.
Tick the checkbox on the row of each product to be deleted.
Hover over the grid header's Action Cog icon.
Select Delete.
If the products cannot be deleted, select Obsolete instead.
