Change Product Codes

Update the current Product Code for individual products or in bulk.

After a product has been created, the Product Code is saved and can only be changed via the Products' Change Codes, found in the main menu via Inventory > Products > Change Codes. From there, you will have the option to provide a new Product Code for existing products one at a time, or you can update multiple Product Codes at once using a CSV import.

Once a new Product Code is saved, any previous transactions for the product will update to reflect the new code, ensuring accurate and reliable reports and traceability.

πŸ“Œ Note: Product Codes must be unique across all product records, including obsoleted products.


Change a individual Product Code

To change a single product's Product Code:

  1. From the main menu, go to Inventory > Products > Change Codes.

  2. In the Single tab, use the *Product field to search for the product using its current Product Code. Use the magnifying glass icon to advance the search if needed. ​

  3. In the *New Product Code field, enter the product's new Product Code.

  4. Select Save.


Change multiple Product Codes

To update the Product Code for multiple products at once, you can use the CSV template available in the Change Product Codes' Batch tab, as described below.

  1. From the main menu, go to Inventory > Products > Change Codes.

  2. Go to the Batch tab and click on the "Download Product Changes Codes template".

  3. In the Product Changes Codes template, provide the current (old) and new Product Codes, per product, in the columns provided.

  4. Return Inventory > Products > Change Codes > Batch tab and import the Product Changes Codes template using the grey upload tile.

  5. Monitor the uploading progress via the Task bar in the top right of your page. ​

    • Orange circle: Upload in progress

    • Red cross: Upload failed (select the task for further details, you will also receive an email notification with further details).

    • Green tick: Upload successful (you will receive an email confirmation).

  6. Once the upload is completed successfully, the product codes included will be updated.


Product Change Codes log

A full log of the Product Code changes that have been actioned against each product will be listed in both the Product Change Codes' Single and Batch tabs. The log displays the following details:

  • Change Date: The date the product code change was saved.

  • Old Code: The product's previous code.

  • New Code: The product's new code.

  • User: The user who actioned the change.
